We are looking for a warm, sharp, and people-first Medical Receptionist to join our founding team. Responsibilities:
- Greet patients and visitors warmly, providing exceptional customer service while managing multi-line phone systems with professionalism and courtesy
- Schedule appointments efficiently using electronic health record (EHR) system
- Make outbound calls to follow up on appointments, recalls, and care reminders - keeping the schedule full and practice running smoothly
- Verify insurance coverage, perform insurance eligibility checks, and conduct insurance verification to streamline patient billing processes
- Collect and process payments, including copays and outstanding balances, utilizing medical billing and collection procedures
- Maintain accurate medical records by reviewing documentation for completeness and ensuring compliance with HIPAA confidentiality policies
- Manage electronic health records (EHR) systems to input patient information, update care plans, and document clinical notes accurately
- Assist with medical coding tasks such as CPT coding, ICD-9/10 coding, and documentation review to support billing accuracy
- Support clinical staff by preparing intake forms, updating patient demographics, and managing appointment schedules in clinic management software
- Handle administrative duties including filing medical records, managing office supplies, and maintaining a clean front desk environment
- Coordinate patient flow and communicate clearly between families and clinical staff
- Handle sensitive family information with discretion and compassion
- Go the extra mile to remember patient names, family details, and preferences — helping every family feel like they belong here
- Contribute actively to building a positive, efficient, and joyful clinic
Qualifications:
- Proven experience as a Medical Receptionist or in a similar medical office administrative support role with clinic or dental office experience preferred
- Strong knowledge of health insurance procedures including Medicaid, and private insurance plans
- Familiarity with EMR/EHR systems is highly desirable
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and typing skills (10 key typing)
- Knowledge of medical terminology, clinical confidentiality policies, and healthcare documentation standards (ICD-10/ICD-9/CPT coding)
- Exceptional patient service skills combined with strong phone etiquette and clerical abilities in a busy front desk setting
- Bilingual abilities are a plus to serve diverse patient populations effectively

Pay: $22.00 - $25.00 per hour
