What are the responsibilities and job description for the Construction Administrator position at TES Staffing?
Operations Coordinator – Construction & Trades
$25 /hour | Full-Time | Rochester, NY
Monday–Friday, 8:00 AM–4:30 PM | 90-Day Contract-to-Hire
About the Opportunity
Do you enjoy keeping things organized, solving problems, and making sure the details don't fall through the cracks? Are you someone who can adapt when plans change and enjoys working with a team that keeps you on your toes?
We're partnering with a growing, woman-owned company in the commercial construction and trades industry to find an Operations Coordinator to support its Director of Operations and help keep daily activities running smoothly.
This is a hands-on role for someone who enjoys a mix of scheduling, administrative coordination, documentation, and problem-solving. You'll work closely with the Director of Operations and collaborate with field teams to keep information accurate, schedules organized, and day-to-day tasks moving forward.
No two days will look exactly the same, but you'll have an important role in making sure the team has the information and support it needs to get the job done.
What You'll Do
Coordinate Daily Operations
- Assist with scheduling field employees and coordinating crew assignments.
- Assign maintenance staff to jobs and prepare work tickets.
- Help keep field teams informed as schedules and priorities change.
- Follow up on outstanding items and help resolve day-to-day operational issues.
Manage Documentation & Reporting
- Review completed work tickets for accuracy, proper documentation, and job-costing information.
- Verify labor hours, job assignments, locations, and expense reports.
- Track truck tickets and maintain accurate field and project records.
- Assist with project setup, data entry, and operational reporting.
Provide Administrative & Compliance Support
- Prepare and process work-ticket journal entries.
- Coordinate insurance requests and track renewal dates.
- Maintain company EZ-Pass information and assist with NYS DOT reporting requirements, including Biennial and HUT filings.
- Support the Director of Operations with additional administrative tasks and special projects as needed.
What We're Looking For
We're looking for someone who's organized, dependable, comfortable working with numbers and documentation, and able to keep things moving without needing every step spelled out.
You'll be a great fit if you:
- Stay organized and pay attention to the details, even when priorities change.
- Take initiative, follow through, and know when to ask questions.
- Communicate confidently and professionally with office staff, field employees, and leadership.
- Learn new systems and processes quickly.
- Are comfortable working with spreadsheets, data entry, reports, and operational paperwork.
- Can balance multiple requests while keeping track of deadlines.
- Enjoy being a reliable support person who helps the larger team succeed.
Experience in construction, commercial flooring, HVAC, electrical, plumbing, manufacturing, transportation, or field service is a plus. Experience coordinating schedules, processing documentation, supporting projects, or working with labor hours and job costs would also be valuable.
You don't need to know everything on day one. We're looking for someone with a solid administrative foundation, a willingness to learn, and the confidence to take ownership of their responsibilities.
Why Consider This Opportunity?
You'll be joining an established, growing, woman-owned company with a strong reputation in its industry and a team that values dependable, collaborative people.
The opportunity offers:
- Competitive pay starting at $25/hour
- Generous paid time off
- Comprehensive benefits
- Profit-sharing opportunities
- Long-term stability
- The chance to learn directly from the Director of Operations and grow your knowledge of the business
This role offers exposure to field operations, scheduling, project administration, job costing, and compliance, making it a great opportunity for someone who enjoys being involved in the day-to-day operations of a business.
