About the Role
We are looking for a skilled Office Manager / Financial Administrator to lead our daily administrative and financial operations. This is a critical role that ensures the accuracy and efficiency of our firm’s revenue cycle. You will be responsible for full-cycle Accounts Receivable (AR) and Accounts Payable (AP), maintaining our financial records in QuickBooks Enterprise, and ensuring the office runs like a well-oiled machine.
Key Responsibilities
- Financial Operations: Manage all day-to-day financial transactions, including verifying, classifying, computing, and recording AR/AP data.
- QuickBooks Mastery: Maintain the company’s QuickBooks Desktop Enterprise file; reconcile ledgers and bank deposits to ensure all payments are accounted for and properly posted.
- Billing & Collections: Prepare and send professional invoices; proactively resolve client billing discrepancies and facilitate timely payments through consistent follow-up.
- Financial Reporting: Generate monthly financial statements and aging reports for leadership to track the health of the business.
- Office Management: Oversee general administrative duties, including file management, office supplies, and serving as the primary point of contact for vendor and client inquiries.
Required Skills & Qualifications
- Software: Proven, hands-on experience with QuickBooks (specifically QuickBooks Enterprise) and Microsoft Office (Advanced Excel skills preferred).
- Accounting Knowledge: Solid understanding of basic accounting principles, fair credit practices, and collection regulations.
- Detail-Oriented: A high degree of accuracy and a "knack for numbers" is essential.
- Communication: Strong professional English (written and verbal) with a customer-service orientation.
- Education: BS degree in Finance, Accounting, Business Administration, or 5 years of equivalent professional experience.
Job Type: Part-time
Pay: $30.00 - $40.00 per hour
