The overall purpose of this job is to be the administrative support contact for all non-budgetary aspects of a department’s daily routine and manage the department offices that are under this position’s supervision. This job consists of a full range of standard and non-standard clerical assignments and the need for problem solving for department or departments.

Essential Functions
Serves as administrative support for the department and coordinates daily operations. Works closely with the Administrative Associate 4 & Chair. Receives, directs, and assists visitors, prospective students and families, faculty, and students. Maintain the Chairperson’s calendar and provide scheduling support. Assists undergraduate and graduate students with academic and registration needs related to their plan of study while maintaining student files and records. Support course scheduling each semester, including permits, room reservations, book orders, and SOAR Orientation. Manage departmental inventories such as Physical Facilities, Space, and Keys. Work with Administrative Associate 4 and coordinate internal and external communications, including advisory board and faculty meetings. Provide support for accreditation processes such as ABET and SACSCOC as needed. Assists with website updates, social media, and marketing initiatives. Support events, outreach activities, tenure and promotion dossier preparation, and hiring processes. Performs other duties as assigned to ensure smooth departmental operations.
Minimum Qualifications
High School diploma or equivalent. At least one year of related professional experience. Excellent interpersonal and communication skills with the ability to express ideas clearly and concisely. Ability to establish effective working relationships with students, faculty, staff, and external constituents with a variety of personalities. Ability to handle confidential files and information. Displays initiative in completing tasks without direct supervision. Requires computer and software knowledge to include Microsoft Office – Word, Excel, Outlook – and the ability to develop spreadsheets, reports, and manage scheduling and appointments.
Preferred Qualifications
Preferably has Banner, Argos, People/Admin and TCP experience. The ideal candidate has experience with financial processes such as purchasing through EagleBuy (or Oracle), ProCard, and related systems. They are able to work closely with Administrative Associate 4, Financial Associate 6 and department leadership on fiscal matters. The candidate has experience supervising and assigning payroll tasks for student workers and is familiar with approving time in job portals or TCP systems.
Work Hours
8:00 am – 4:30 pm, Monday – Friday.
Compensation And Benefits
Salary Commensurate with education and experience. Pay Grade 5. Benefits Information
