Position Purpose:

The primary purpose for this position is to perform the administrative, clerical and customer service duties associated with the processing of TEL retailer applications and contracts. Responsibilities include, but are not limited to, receiving, reviewing, and processing retailer applications in a timely manner and performing other duties as assigned by the Retailer Contracts Manager

Major Tasks, Responsibilities and Key Accountabilities:

  • Receives and reviews new retailer contracting applications and renewal applications
  • Serves as a liaison between applicants and existing retailers, TEL staff and vendors
  • Researches and processes applicant and retailer inquiries
  • Performs the annual contract renewal process, including but not limited to, processing compliance checks and handling front-end obligations
  • Performs the data entry required to input the required retailer data into the TEL Retailer database and to maintain that data
  • Provides customer service to external and internal customers as required to process retailer applications
  • Responds to phone and email inquiries regarding new and existing retailer applications and contracts
  • Coordinates and responds to the Department of Revenue and Tennessee Bureau of Investigation reviews and approvals
  • Communicates directly with retailers via phone and written correspondence to resolve all pending application issues
  • Verifies receipt of application fees
  • Ensures that the appropriate individuals or Departments are aware of pending issues with retailer applications and works to resolve such issues
  • Ensures all required application processing checkpoints have been completed and recommends applications for review, approval or rejection
  • Generates and prints letters and certificates for approved retailers and promotional retailer events
  • Maintains confidentiality of retailer information
  • Prepares, maintains and updates files and logs following prescribed methods
  • Communicates with financial institutions regarding issues related to retailers’ trust accounts
  • Serves as a liaison to Sales, Finance and Legal Departments for RCA activities involving application issues and non-compliant retailers.
  • Acts as point of contact regarding retailer account maintenance, including but not limited to, enabling and disabling terminals, application verification, and troubleshooting issues
  • Responds to questions, complaints, and requests for information by email, telephone, in person or by mail from citizens, employees, department heads, applicants, retailers, and TEL vendors
  • Notifies Sales Department of ticket ordering request
  • Performs general administrative/office functions as needed and prepares and maintains the accuracy of departmental reports as requested

Education and/or Experience:

High School diploma (or GED) required. Associate’s Degree in Business Administration preferred.

Three to five years of customer service, contract monitoring experience; or strong data entry skills required. Proficiency in Microsoft Excel and Word is required.

Other Qualifications:

Must have strong oral and written communication skills and the ability to maintain confidential information.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. The noise level in the office is usually moderate.

Pay: $15.38 - $19.81 per hour
