What We're Looking For: We need a reliable, professional, and detail-oriented receptionist who can deliver white-glove customer service while managing the organized chaos of a busy veterinary practice. About Us: Tender Touch Animal Hospital is a privately owned veterinary practice in Kingston, WA, where longevity, teamwork, and compassionate care define who we are. Our single DVM is an exceptional mentor who leads by example, and our tight-knit staff works together seamlessly to provide outstanding care to our patients and their families.

We're evolving! We're transitioning from Impromed Infinity to Nectar, a modern cloud-based practice management system, and we need a tech-savvy, adaptable team member to grow with us.

Growth Opportunity: We're looking for someone who wants to build a long-term career with us. For the right candidate with exceptional leadership skills and a proven track record of excellence, this role can advance into our Client Communications Lead position. We're building our leadership team and looking for someone who wants to grow with the practice and potentially take on greater responsibility over time, including team training, protocol management, quality assurance, and front desk leadership.

You're Our Ideal Candidate If You Have:

  • At least 1 year of veterinary receptionist experience (required)
  • 5 years of VIP-level customer service experience (hospitality, luxury retail, high-end service industries—we want the best!)
  • Open availability Monday–Friday, 8:30 AM–7:00 PM (8:30 PM on Wednesdays)
  • Ability to lift up to 50 lbs and remain on your feet for extended periods
  • Strategic scheduling skills – you know how to Tetris appointments like a pro
  • Superior communication skills – you can read the room, adapt your tone, and make every client feel heard
  • Strong leadership qualities – you take initiative, mentor others, and lead by example
  • A track record of taking initiative and driving results independently
  • Experience implementing systems and improving processes
  • The ability to see the big picture while managing the details
  • Exceptional interpersonal skills – you build rapport quickly and genuinely care about people and pets
  • Multi-tasking mastery – you can juggle phones, clients, tasks, and chaos without breaking a sweat

  • Exceptional time management skills – you prioritize tasks, work efficiently, and don't waste time

What You'll Do:

  • Provide exceptional, personalized client care from the first phone call to checkout
  • Strategically schedule appointments to optimize patient care and clinic flow
  • Manage front desk operations with professionalism, efficiency, and a warm demeanor
  • Take ownership of front desk operations and client communications
  • Develop and implement efficient systems and protocols
  • Identify opportunities for improvement and take initiative to solve problems
  • Communicate clearly and compassionately with clients during stressful, joyful, and routine moments
  • Collaborate with our veterinary team to ensure seamless patient care
  • Maintain accurate records and become proficient in our new Nectar software
  • Uphold our high standards of cleanliness, organization, and professionalism
  • Manage day-to-day operations with minimal supervision
  • Leadership candidates: Train and mentor team members, develop and implement front desk protocols, ensure quality standards, and serve as the go-to person for client communications excellence

Physical Requirements:

  • Ability to lift up to 50 lbs (assisting with pets, moving supplies, etc.)
  • Ability to stand for extended periods throughout your shift
  • Ability to bend, kneel, and reach as needed for daily tasks
  • Comfortable working in an active, fast-paced environment that requires physical stamina

Please Note: This position requires physical activity throughout the day. While there are opportunities to sit during administrative tasks, the role involves frequent movement, assisting clients and pets, restocking supplies, and maintaining the front desk and lobby areas. Candidates should be prepared for an active work environment.

Schedule & Availability Requirements:

  • Full-time position requiring open availability Monday–Friday
  • Must be available from 8:30 AM to 7:00 PM (Monday, Tuesday, Thursday, Friday)
  • Must be available from 8:30 AM to 8:30 PM on Wednesdays
  • We're looking for someone who values efficiency, manages time well, and works smart to complete tasks effectively
  • Flexibility required for occasional emergency cases
