What are the responsibilities and job description for the Maintenance Coordinator position at Tempo Properties?
Job Overview
We are seeking a highly organized, tech-savvy, and proactive Property Maintenance & Compliance Coordinator to oversee day-to-day property repairs, seasonal operations, and critical municipal compliance. In this role, you will serve as the operational anchor connecting tenants, property managers, in-house technicians, and external vendors. You will be responsible for the full lifecycle of work orders—from initial triage and estimation through final project completion and documentation. A major focus of this role includes tracking city code enforcement violations and coordinating environmental requirements like lead paint remediation.
Core ResponsibilitiesWork Order Management & Triage: Receive, assess, and prioritize incoming maintenance requests from tenants and managers. Perform basic technical over-the-phone troubleshooting to isolate issues or eliminate unnecessary dispatches. Scheduling & Dispatch: Route and assign work orders daily to internal maintenance technicians or external third-party tradespeople based on urgency, geography, and skill level.
Estimating & Bidding: Source, review, and evaluate comparative contractor quotes for larger repairs and property turnovers. Compile costs into clear project estimates for approval. Project Management: Supervise progress on multi-trade maintenance projects, vacancy turnovers (make-readies), and capital improvements to ensure they stay on schedule and within budget.
Safety & Compliance Oversight: Monitor, track, and resolve municipal code enforcement violations. Formally coordinate lead paint inspections, risk assessments, and lead hazard remediation according to strict state and local regulatory guidelines. Seasonal & Grounds Operations: Procure, schedule, and audit external service contracts for recurring property requirements including trash removal, landscaping, and winter snow removal.
Inventory Control: Track, log, and order essential maintenance supplies, replacement parts, and tool inventories to ensure internal crews remain fully equipped.
Record Keeping & Software Management: Maintain flawless digital logs of all operations, compliance clearances, vendor insurance certifications, and invoices directly within property software systems.
Skills & Qualifications
Experience:* 2–4 years of direct experience in property maintenance coordination, residential construction dispatch, or facilities project management.*
Software Literacy: Required hands-on proficiency and familiarity with property management software tools, specifically AppFolio and Property Meld (or equivalent CMMS tracking systems).
Technical Knowledge: Strong foundational understanding of residential building systems (plumbing, electrical, HVAC, and carpentry) to communicate effectively with tradespeople and accurately evaluate repair work.
Exceptional Organization:* High-level multitasking capability with a proven track record of managing dozens of active, moving parts across multiple locations concurrently. Proactive Problem-Solving: Resourcefulness under pressure to resolve logistics bottle-necks, contractor delays, or compliance deadlines smoothly. *
