The Sales & Operations Coordinator supports the day-to-day execution of sales operations across Temple St. Clair’s wholesale and direct-to-client business channels.
This role is responsible for sales order management, consignment and trunk show administration, invoicing, reporting, inventory reconciliation, and operational support across the sales organization. Working closely with Sales, Operations, Accounting, Logistics, and external retail partners, the Sales & Operations Coordinator helps ensure accuracy, organization, and a high level of service throughout the order lifecycle.

- Create and manage sales orders with Microsoft NAV.
- Process sales orders for wholesale, consignment, trunk shows, replenishment requests, and special orders.
- Coordinate purchase order requests with retail partners and distribute supporting documentation.
- Ensure accuracy of order details including pricing, ship windows, cancel dates, order classifications, and shipping information.
- Manage memo pulls and RTV (Return to Vendor) processes with retail partners.
- Coordinate asset returns by requesting RA numbers from Wholesale Managers, preparing RTV labels, and tracking returns with Logistics.
- Maintain accurate memo, consignment, and RTV tracking documentation.
- Process invoicing related to consignment sales and trunk show activity.
- Support ongoing inventory reconciliation for consignment programs and partner reporting.
- Coordinate monthly reporting requests with retail partners to support sales analysis and inventory review.
- Reconcile consignment inventory reporting between internal systems and partner reporting, identifying and escalating discrepancies as needed.
- Prepare and format sell-through and inventory-on-hand reporting for internal review.
- Support retailer incentive tracking and reporting requests across the sales organization.
- Serve as a primary operational contact for retail partners and internal sales teams regarding orders, replenishment requests, invoicing, and follow-up communication.
- Support special order processing across wholesale and direct client channels as needed.
- Assist with line sheet preparation, client requests, and product coordination.
- Help maintain a high level of responsiveness, professionalism, and care in all partner and client communication.
- Partner closely with Sales, Operations, Accounting, Production, and Logistics teams to support seamless order execution.
- Maintain organized records, tracking logs, and reporting files across shared systems and Google Drive.
- Support additional operational initiatives and special projects as needed.
- Minimum 2 years of experience in sales operations, wholesale operations, order management, or account support within luxury, fashion, jewelry, or related industries.
- Strong proficiency in Microsoft Excel and spreadsheet management.
- Experience working within ERP systems such as Microsoft NAV or similar order management platforms.
- Exceptional organizational skills and strong attention to detail.
- Ability to manage multiple priorities and deadlines with accuracy and follow-through.
- Strong written and verbal communication skills.
- Professional, collaborative, and solution-oriented approach to cross-functional teamwork and retailer communication.
- Experience supporting wholesale luxury, jewelry, or fashion accounts.
- Familiarity with consignment inventory, memo programs, trunk shows, and retailer compliance requirements.
- Experience working with major department store partners and independent luxury retailers.
- Appreciation for craftsmanship, product narrative, and the luxury client experience.
