Summary
The Administrative Coordinator provides comprehensive administrative, operational, and congregational support to Temple Israel staff, clergy, leadership, volunteers, and members and serves as a primary point of contact for the congregation and community. This position serves as a primary point of contact for the congregation and community while helping ensure the efficient daily operation of the Temple office, facility, programs, communications, ritual support, and cemetery administration.
Key Responsibilities
- Front‑desk and Office Support: Greet visitors; answer and direct calls; take messages; receive and sort mail; prepare daily check registers and deposit documentation.
- Records and Database: Enter and maintain membership, donor, tribute, and memorial records; prepare invites, membership, and condolence correspondence.
- Event and Calendar Management: Maintain master Temple and building calendars; create online RSVP/registration forms; distribute attendee lists; schedule meetings and coordinate event logistics.
- Ritual and Lifecycle Support: Coordinate logistics and ordering for Shabbat, High Holidays, and lifecycle events; prepare yahrzeit notices; manage memorial book administration and related mailings.
- Cemetery Administration: Maintain cemetery records; assist with burial rights, purchase/transfer documents, certificates, and funeral/cemetery logistics.
- Facility Coordination: Coordinate facility reservations and space usage; confirm contracts and communicate setup instructions to maintenance staff and vendors; monitor and report facility or HVAC concerns; maintain linen and event inventories.
- Communications and Publications: Maintain mailing lists and assist with newsletters, calendars, and community submissions; communicate Temple events to partner publications and organizations.
- General: Perform other administrative and operational duties as required.
Qualifications
- Skills: Strong written and oral communication; excellent organization and attention to detail; calm, compassionate interpersonal style; resourceful problem‑solver.
- Technical: Proficiency with Microsoft Word, Outlook, Excel; familiarity with Publisher, InDesign, Access preferred.
- Experience: Prior administrative, nonprofit, synagogue, or community organization experience preferred.
- Physical: Ability to sit at a computer for extended periods; communicate clearly in person and by phone; stand and move throughout the facility during events; lift up to 20 pounds.
