Position Summary
The Food and Nutrition Administrative Assistant will support and assist the Director of Food and Nutrition with the staffing and operation of the Food and Nutrition Department, in the areas of personnel and finance.

ADA and Other Requirements:This position requires: climbing, crawling, stooping, kneeling, crouching, standing, walking, pushing, reaching, lifting, feeling, talking, hearing, seeing, and repetitive motions. Sedentary Work: Exerting up to 25 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Position Summary
The Food and Nutrition Administrative Assistant will support and assist the Director of Food and Nutrition with the staffing and operation of the Food and Nutrition Department, in the areas of personnel and finance.
Essential Functions
- Operates the management program for meals and cash receipts.
- Initiates bimonthly transfer of funds to County Treasurer's office from commercial bank account.
- Posts and reconcile monthly income and expense ledgers, including collection of insufficient fund checks, credit card transactions, vending/catering, and other sales transactions.
- Monitors schools' input of daily records (i.e. cash receipts and total meals served by reviewing reports and communicating with managers on any discrepancies).
- Gathers all data and prepares monthly, mid-year, and end-of-year financial reports.
- Processes job openings and advertising, completes background checks and employee documents, initiates PARs for new hires, rehires, transfers, and staff terminations. Ensure all appropriate documents are submitted to the Human Resource Department and assist new and continuing employees in completion of personnel/payroll documents.
- Enters data for all new employees in EPRO software systems and maintains personnel files.
- Knowledgeable about the National school Breakfast/lunch program.
- Answers correspondence pertaining to personnel issues independently.
- Assists cafeteria managers regarding personnel matters, forms, and supplies.
- Travel between schools may be required.
- Assist parents with on-line and/or paper applications and answers questions regarding eligibility.
- Responsible for ordering office supplies and banking supplies.
- Prepare all purchase orders and revisions for Department
- Create quotes and invoices for special events.
- Assists schools to serve meals as needed.
- Updates internal software programs with new employee information.
- Submits invoices to McKinney Vento for negative balances.
- Maintains professional training documents and certifications for staff.
- Communicates with the Department of Health and assists with corrective action.
- Updates student information system with meal eligibility information.
- Orders change funds as needed.
- Prepares and updates letters and correspondences as needed.
- Reconciles monthly bank deposits, credit card transactions, vending/catering, and other sales transactions.
- Processes refund requests, reimbursements, and fund transfers for student and staff accounts.
- Assists Budget and Finance with AFR documentation
- Participates in employee interviews as needed.
- Maintains record retention as required by TUHSD and USDA.
- Assists with Grant preparation.
- Create merchandising and marketing materials for school sites and departments as needed, including web design digital messaging, and print materials.
- Initiates the process for New Hire orientation.
- Other duties as assigned.
- High School Diploma.
- Three years of experience in accounting and administrative assistant duties preferred.
- Business background preferred.
- Bilingual preferred.
- Human Resource experience preferred.
