Position Summary
The Office Coordinator plays a key role in ensuring the smooth daily operations of the office environment. This position is responsible for administrative support, maintaining office supplies and snacks/beverages, organizing company lunches and events, and supporting internal departments as needed. The ideal candidate will be organized, proactive, and able to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Maintain inventory of office supplies, snacks, and beverages; place orders and restock as needed.
· Coordinate and execute office lunches, celebrations, and employee engagement activities.
· Support daily office operations including filing, document organization, and responding to inquiries.
· Assist with data entry and maintaining accurate records and documents.
· Ensure the office is well organized, clean, and welcoming for employees and visitors.
· Communicate with vendors to coordinate orders, deliveries, and service needs.
· Assist in updating and maintaining compliance documentation and calendar reminders (e.g., calibration certificates, site compliance portals).
· Support administrative tasks related to budgeting, invoices, or other internal processes as needed.
· Schedule, organize, and execute meetings, training sessions, and company events.
· Perform other duties as assigned by management.
Minimum Qualifications (Knowledge, Skills, and Abilities)
· High school diploma or equivalent required; Associate’s degree preferred.
· Minimum of 2 years of administrative or office support experience.
· Proficiency in MS Office (Excel, Word, PowerPoint).
· Strong organizational and multitasking skills with the ability to prioritize effectively.
· Excellent verbal and written communication skills.
· Friendly and professional demeanor with a service-oriented mindset.
· Ability to work independently and take initiative.
· Experience working with office supply vendors or managing inventory is a plus.
Physical Demands and Work Environment
· Sit for extended periods of time.
· Lifting and carrying occasionally up to 25 lbs.
· Constant use of dominant hand and keyboarding with both hands.
· Frequent bending of neck and waist.
· Occasional reaching above shoulder level; frequent reaching below shoulder level.
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 40.0 per week
