THE MISSION
Teleferic Barcelona is entering a critical expansion phase: scaling to $50M revenue, opening 3 new locations in 2026, and preparing for major institutional investment.We are not looking for a receptionist. We are looking for a Force Multiplier. The Operations Coordinator will act as the "Air Traffic Controller" for the US Headquarters. Your mission is to organize the chaos of hyper-growth, managing the CEO’s operational rhythm, protecting executive focus, and ensuring the HQ runs with the precision of a Michelin-starred kitchen.
CORE RESPONSIBILITIES
1. Executive Operations (The "Shield") – 50%
- Inbox & Communication Triage: Act as the first line of defense for the CEO’s inbox. Filter noise, draft responses, and flag "Urgent" items to ensure the CEO focuses on high-level Strategy, not administrative clutter.
- Strategic Scheduling: manage a complex, shifting calendar. Prioritize "Deep Work" blocks for financial review and strategy. Diplomaticaly decline low-ROI meetings.
- Logistics Command: execute complex travel itineraries (domestic/international), booking flights and accommodation when requested, and expense reporting with zero friction.
2. Project Management & Data Room (The "Builder") – 30%
- Investment Readiness: Organize digital files, contracts, and financial reports into a structured "Data Room" for future Due Diligence and Audits.
- Meeting Rhythm: Prepare agendas, P&Ls, and "Read-Ahead" decks for Leadership meetings. Take actionable minutes and enforce follow-through with Department Heads.
- Special Projects: support the launch of new locations by coordinating permits, vendor signatures, and "Punch List" tracking.
3. HQ Efficiency & Culture (The "Hub") – 20%
- Office Management: oversee the physical HQ environment. Manage the part-time Admin Assistant to ensure supplies, filing, basic maintenance are flawless.
- Team Onboarding: coordinate technology, access, and welcome kits for new Corporate hires.
- Internal Comms: Act as the bridge between the CEO and the General Managers for non-urgent operational updates.
THE IDEAL CANDIDATE
- The "Hospitality Gene": You may have been a Restaurant Manager, Event Planner, or high-level EA. You understand that "Service" applies to internal teams just as much as guests.
- Tech-Native: You don't just use Excel; you build the spreadsheet. You are fluent in G-Suite, Slack, Project Management tools (Asana/Monday), and can learn restaurant tech (Toast/7Shifts) quickly.
- Bilingual Preferred: Fluency in Spanish & English is a massive plus (collaborating with our Barcelona HQ).
- High EQ: You know how to push back respectfully. You can handle sensitive/confidential information with total discretion.
- Resilient: You thrive in a fast-paced environment where priorities change daily. You don't panic; you pivot.
