You’ll be the first point of contact for internal employees arriving for screenings, vaccinations, mask fittings, and new-hire occupational health appointments. This role is ideal for a highly organized, service-oriented professional who thrives in a structured, clinical setting and enjoys supporting nurses and physicians.What You’ll DoOpen and close the office daily, ensuring the front desk and waiting area are prepared for patients.Greet and check in employees arriving for Occupational Health services using a dedicated system.Schedule and manage appointments for vaccines, mask fittings, and new hire occupational health visits.Maintain the schedule to optimize flow and ensure employees are seen efficiently.Handle communications: respond to emails, answer phones, take messages, and route time-sensitive calls to the nurse.Organize records: collect, scan, upload, and accurately file doctors’ notes and screening documents into employee files.Monitor incoming information and ensure all records are complete, accurate, and appropriately stored.Must-Have Qualifications1 year of experience in an administrative, reception, or customer service setting.Strong customer service skills with a friendly, professional demeanor for internal employees.Excellent organization and attention to detail for managing records and schedules.Scheduling experience using any appointment or calendar systems.Nice-to-Have SkillsExperience with scanning, filing, and uploading documents into electronic records.Comfort with phone coverage, messaging, and email etiquette.Work Environment & PerksOn-site role supporting a dedicated Occupational Health clinic team (you’ll be the sole admin partnering closely with nurses and physicians).Set hours: 7:30 AM–4:00 PM, Monday–Friday (no flexibility).Free parking available and free shuttle service from Ballston Metro.A chance to contribute to a respected Arlington community healthcare organization.Compliance RequirementsBackground check and drug screeningMedical screeningWhy the Role is OpenBackfill due to a retirement on the team.Job Type & LocationThis is a Contract to Hire position based out of Arlington, VA.Pay and BenefitsThe pay range for this position is $17.00 - $23.00/hr.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
