We entitle, construct, and operate in markets with high barriers to entry and manage ground-up development and construction of multi-family real estate assets. Since inception, we have developed or acquired properties exceeding $320 million throughout the United States, with a primary focus in California, New Mexico, Texas, and Florida. The company's vertically integrated platform includes in-house development, construction, finance, accounting, legal, project management and asset management capabilities.

Job Description

In the context of sustained growth, Tekin & Associates is pursuing further development of its project management team and is looking to strengthen and invest in the project administration function supporting our active construction projects.

Position Objectives

The Project Administrator is primarily responsible for providing administrative, financial, and coordination support across multiple concurrent construction projects, ensuring accurate documentation, compliant subcontractor/vendor records, and timely reporting throughout the development and construction process. The position works daily in Procore and MRI Software and serves as the organizational backbone of the project team.

Specific Responsibilities

  • Prepare, route, and track subcontracts and change orders through Procore's commitment and change management tools
  • Maintain project records in Procore: submittals, RFIs, drawings/specifications, transmittals, daily logs, and photos
  • Enter and reconcile job cost data, invoices, and pay applications between Procore and MRI Software
  • Process subcontractor pay applications, verify and collect lien waivers (conditional and unconditional), and route for approval/payment in MRI
  • Collect, track, and verify certificates of insurance (COIs) for all subcontractors and vendors, ensuring coverage limits meet requirements and following up before expiration
  • Prepare and submit certified payroll reports (e.g., WH-347 or state equivalent) for publicly funded/prevailing-wage projects, and verify subcontractor wage rates against the applicable wage determination
  • Coordinate permitting, inspections, and compliance documentation with the applicable local municipal/county offices for each project
  • Maintain the submittal log and RFI log in Procore; follow up on overdue items with subs, architects, or engineers
  • Onboard new subcontractors/vendors: collect W-9s, certificates of insurance, and license documentation; upload into Procore's directory/compliance tools
  • Prepare and distribute daily/weekly field and status reports pulled from Procore for PMs and leadership
  • Coordinate deliveries, equipment rentals, and logistics across multiple active project sites
  • Maintain safety documentation and compliance tracking (e.g., toolbox talks, incident reports) in Procore
  • Support monthly owner billing and budget-to-actual reporting by reconciling Procore commitments with MRI financials
  • Prepare reports, schedules, and materials for OAC (Owner-Architect-Contractor) and leadership meetings

Qualifications:

  • Undergraduate degree in business, construction management, or related field preferred (or equivalent experience)
  • Minimum 2 years of experience in construction administration, project coordination, or a related role
  • Hands-on experience with Procore required
  • Experience with MRI Software or similar construction accounting/ERP systems (Sage 300 CRE, Viewpoint, Yardi) a plus
  • Experience collecting and tracking certificates of insurance (COIs) and lien waivers (conditional and unconditional) required
  • Experience with certified payroll reporting and prevailing wage compliance required/preferred [confirm based on whether upcoming projects are publicly funded]
  • MS Word, Excel, and Outlook savvy

Travel Requirement

Regular travel between multiple active project sites is required.
