Job Title: Fiscal Administrator
Supervisor: Executive Director
Status: Full-Time, (40 hours per week), Exempt
Qualifications
- Ability to deliver TEEG services through implementation of mission and vision in a culturally sensitive manner
- Bachelor’s degree in Accounting or related field and 5 years of similar work experience
- Demonstrated knowledge of accounting principles; proficiency in QuickBooks Desktop or Aplos and Salesforce software
- Demonstrated ability to provide leadership, staff supervision and fiscal oversight
- Clean record with State Police Bureau of Identification, Department of Children and Families and Department of Motor Vehicles
- Possesses a valid driver’s license, reliable transportation, and proof of registration and motor vehicle insurance

Physical/Mental Requirements & Working Conditions
- Frequent stationary work in an office setting to include keyboarding and/or handwriting
- Daily working hours may vary to meet client and agency needs, including early morning, evening, and weekend requirements
- Frequent in person, virtual and/or telephonic oral communication and listening
- Ability to lift and/or move up to 20 pounds
Essential Functions
- Maintain strict confidentiality of client and agency data and records
- Maintain thorough knowledge of all TEEG services and make inter-agency referrals as necessary
- Copying, faxing, emailing, scanning, and filing physical and/or electronic records
- Accurate and timely data entry and reporting in appropriate database(s) and/or to funders
- Attend meetings, supervision, trainings, and professional development opportunities as required
- Comply with outlined policies, procedures and agency culture including representing TEEG positively at agency events and in all public venues
- Accurate and timely logging of monetary and/or in-kind donations directly received
Responsibilities
- Plans, develops, organizes, implements, directs, and evaluates the agency’s fiscal operations by providing efficient financial management and accounting services to include account management, budgeting, deposits, accounts payable, accounts receivable, payroll, fringe benefits, taxes, grant management, investment entries, etc.
- Provide direct and regular supervision to Human Resources Coordinator and Office Manager; document ongoing performance; delegate tasks and ensure completion of assigned duties
- Develop annual agency budget in collaboration with Executive Director; present to Board of Directors and necessary subcommittees for approval
- Develop and administer program budgets in accordance with funder requirements while ensuring compliance with annual agency budget guardrails; complete interim and grant end expense reports as required
- Complete month end closing entries in a timely manner; prepare year-to-date budget vs. actual report and present same at monthly Board of Directors Finance Committee meetings
- Complete bi-weekly payroll together with necessary tax payments and benefits administration
- Ensure submission of monthly fee for service invoices, together with supporting documentation to applicable funders
- Complete necessary ongoing accounting entries, gather and provide required documentation, schedule and assist Auditors with annual independent audit
- Work collaboratively with agency’s Accountant to schedule and ensure completion of quarterly payroll taxes, annual issuance of W-2 and 1099 forms, fiscal year-end journal entries as determined by Independent Auditors and other entries as necessary
- Prepare financial report for agency’s annual campaign
- Work collaboratively with vendors, and banking and investment partners to carry out financial business operations
- Any other duties as assigned by Executive Director
