Job Description:
We are looking for a reliable, detail-oriented Logistics Specialist to be the main point of contact in the logistics office. This role is responsible for coordinating daily shipments, supporting drivers, managing delivery appointments, and keeping logistics documentation organized and up to date.
You will also be the front-office phone contact, handling inbound calls/emails and making outbound calls to coordinate orders with restaurants and large-scale customers.
Key Responsibilities:
Serve as the main office contact for during logistics business hours (7:00 a.m. – 3:30 p.m)
Answer inbound calls in the front office and route calls as needed.
Make outbound calls to coordinate orders, delivery times, and special requests with restaurants and large-scale customers.
Communicate daily with company drivers and carriers regarding routes, ETAs, and delivery issues.
Schedule and confirm delivery and pickup appointments with customers, warehouses, and 3rd party logistics companies.
Coordinate with 3PL providers to arrange freight, track shipments, and resolve transit issues.
Maintain accurate shipment records and file all necessary documents (BOLs, PODs, shipping documents, etc.).
Update internal systems and/or CRM with shipment statuses, schedules, and customer notes.
Work closely with the warehouse team to align shipping schedules with product availability and loading times.
Assist with basic customer service related to delivery status and logistics questions.
Help identify and resolve discrepancies related to shipments, counts, or documents.
Support other office and logistics-related tasks as needed.
Qualifications:
Required:
Strong phone and email communication skills with drivers, customers, and vendors.
Comfortable handling inbound and outbound calls in a professional manner.
Good organizational skills and attention to detail.
Basic computer skills (email, spreadsheets, data entry).
Dependable and punctual; comfortable working independently in the office.
Preferred:
Spanish-speaking (bilingual English/Spanish is a strong plus).
Experience with Fishbowl or similar inventory/CRM systems.
Warehouse or distribution environment experience.
Familiarity with freight, LTL, and/or working with 3rd party logistics companies.
