Position Summary:
Team Stradale is seeking a highly organized, proactive, and detail-oriented Executive Assistant& Operations Coordinator to support the President and assist with daily operations across multiple business functions. This role serves as a central point of coordination for executive support, client services, event logistics, human resources, accounting administration, marketing, and special projects within a fast-paced motorsports environment.
The ideal candidate thrives in a dynamic setting, can manage multiple priorities simultaneously, communicates professionally with clients and vendors, and takes initiative to solve problems before they arise.
Key Responsibilities:
Executive Support
Manage executive calendars, scheduling, travel arrangements, and meeting coordination.
Prepare meeting agendas, take detailed meeting notes, and track action items.
Draft and manage professional correspondence with clients, vendors, and partners.
Assist with confidential business, legal, and administrative matters.
Operations & Event Coordination
Coordinate logistics for race weekends, track events, and client experiences.
Arrange travel, lodging, transportation, credentials, hospitality, and catering for staff and clients.
Maintain event schedules and ensure all deadlines are met.
Serve as a liaison between departments to support smooth daily operations.
Client Relations
Communicate with clients regarding registrations, scheduling, invoices, event details and service requests.
Coordinate driver gear orders, vehicle logistics, and event participation requirements.
Maintain a high level of customer service and professionalism.
Human Resources & Recruiting
Assist with recruiting, interviewing, onboarding, and employee documentation.
Coordinate background checks, I-9s, E-Verify, benefits enrollment, and new hire paperwork.
Maintain personnel records and HR compliance documentation.
Support employee scheduling and workforce planning.
Accounting & Administrative Support
Assist with invoicing, purchase orders, vendor payments, collections, and account management.
Coordinate with accounting personnel to ensure accurate financial records.
Maintain organized digital and physical filing systems.
Marketing & Communications
Assist with email marketing campaigns, newsletters, social media content, and promotional materials.
Coordinate client communications and event announcements.
Support branding and customer engagement initiatives.
Qualifications
2 years of experience in executive support, office management, operations, project
coordination, or a related role.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite and Google Workspace.
Experience with QuickBooks, CRM systems, HR platforms, or project management tools is a plus.
Ability to work independently while managing multiple deadlines.
Professional demeanor and strong attention to detail.
Preferred Qualifications
Experience in motorsports, automotive, hospitality, events, or small business operations.
Familiarity with travel coordination, client services, and event planning.
HR, bookkeeping, or marketing experience is a plus.
