Position Purpose:
This position offers direct assistance to the Director of Clients Services and the Client Care Team. The Client Care Coordinator is the central point of contact for our property owners, residents, and vendors. In this role, you will leverage your property management background to deliver outstanding service, manage day-to-day operational workflows, and resolve issues with professionalism and efficiency. You will work closely with our property management team to ensure every client interaction reflects the TCS commitment to excellence.
PRIMARY DUTIES & RESPONSIBILITIES: CLIENT CARE
- Serve as the primary point of contact for property owners, residents, and vendors — managing all communications with professionalism and care;
- Handle inbound and outbound client communications via phone, email, and the AppFolio property management platform;
- Log, coordinate, and follow up on maintenance requests from submission through completion, ensuring timely resolution;
- Manage and process lease agreements, renewals, move-in and move-out procedures, and related documentation within AppFolio;
- Proactively identify client concerns, analyze root causes, and implement effective solutions to maintain high satisfaction level;
- Assist with the management of unpaid tenant account balances, including making past-due rent collection efforts through phone calls, emails and text messaging; following up on issues secondary to unpaid balances; and creating payment plans to resolve past due balances;
- Maintain thorough and accurate records of all client interactions, service requests, and account activity;
- Coordinate with our outside legal representatives concerning pre-eviction and eviction procedures and filings, manage the status of eviction notices and attending court hearings as needed to represent our clients;
- Generate owner reports, financial summaries, and occupancy updates through AppFolio on a scheduled basis;
- Coordinate with the internal property management team, residents & owners to ensure all maintenance requests are being completed in a timely manner to both the satisfaction of residents and owners;
- Actively develop and maintain a strong portfolio of outside vendors that will ensure the company can address all maintenance concerns in a timely manner and efficient manner;
- Coordinate with vendors to maintain current insurance policies and document compliance;
- Coordinate with team Project Managers to implement post move-out inspections, tenant disposition letters and the proper return of security deposits;
- Assist in the communications and coordination of new leases and lease renewals;
- Must stay up-to-date on all landlord-tenant laws and all laws, codes and regulations as they relate to property management/ rental properties;
- Other duties and responsibilities as assigned by the Director of Client Services and company leadership.
POSITION REQUIREMENTS
- Minimum - High School Diploma or GED
- 3 years’ work experience as a Property Manager or in a comparable property management role
- Strong computer skills required, including Google Workspace
- Computer proficiency - experience with AppFolio, strongly preferred
