Responsibilities
- Greet visitors, manage front desk operations, and handle phone systems with professionalism and courtesy
- Maintain office supplies inventory, place orders, and oversee filing systems to ensure organization and accessibility
- Coordinate calendar management, schedule appointments, and assist with meeting preparations using Microsoft Office and Google Workspace tools
- Manage incoming correspondence, perform data entry, proofread documents, and handle clerical tasks such as photocopying and scanning
- Support bookkeeping activities using QuickBooks software, including invoicing and expense tracking
- Provide excellent customer service by addressing inquiries promptly via phone or email, ensuring positive interactions at all times
- Assist with administrative projects, support personal assistant duties as needed, and uphold high standards of phone etiquette and professionalism
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical support and customer service
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and computer literacy skills
- Familiarity with QuickBooks software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Strong communication skills; bilingual abilities are a plus for diverse workplace environments
- Experience working as a dental or medical receptionist or in a personal assistant role is advantageous , data entry accuracy, proofreading techniques, filing procedures, and phone etiquette
- Previous office experience involving calendar management, bookkeeping, or medical/dental reception is preferred
