What are the responsibilities and job description for the Mailroom Coordinator position at Tavrix?
Job Summary
We’re hiring a Mailroom Coordinator to manage the intake and distribution of mail and packages for the office. You’ll open the mailroom each morning, sort through what’s arrived, and route items to the right desk or department before the day gets going. Volume shifts throughout the week, often heavier after a weekend or holiday. You’ll prep outgoing mail, coordinate pickup times with couriers, and keep track of anything requiring a signature. Staff occasionally stop by asking about something that hasn’t shown up, so tracking down a missing package comes with the territory. Most days settle into a steady pattern, though certain weeks run heavier depending on what’s going on elsewhere in the building.
Responsibilities
- Sorting incoming mail and packages by department
- Logging deliveries into the tracking system as they arrive
- Preparing outgoing mail, including postage and labeling
- Coordinating pickup times with courier services
- Delivering time-sensitive items directly to offices
- Tracking down missing or delayed packages when staff ask
- Keeping a log of certified and signed-for mail
- Restocking mailroom supplies, usually checked toward the end of the week
Qualifications
- You keep track of small details that others might miss, especially when confirming recipients on similarly addressed packages.
- Clear communication matters since you’ll regularly field questions from staff across different departments.
- Comfortable English skills are expected, as most labels and requests come through in writing.
- When deliveries pile up on a heavy morning, you’re able to adjust your pace and still route things correctly.
- Staying organized helps you manage incoming and outgoing mail at the same time without losing track.
- You’re generally reliable about showing up on time, since the morning sort sets the pace for the rest of the day.
- A friendly attitude helps when staff stop by with questions about their mail.
- You’re willing to learn the building’s layout and department structure as you get settled.
