What are the responsibilities and job description for the Church Secretary position at Tates Chapel Baptist Church?
Principle Function:
The Church Secretary / Ministry Assistant is responsible for performing administrative and clerical support to the ministries and members of Tates Chapel Baptist Church under the supervision of the Senior Pastor. She/He will perform specific duties as it relates to the business of the church. Efficiency, attention to details, and being able to prioritize regular tasks are vital to this role. The Church Secretary / Ministry Assistant will support the ministerial staff and the members of TCBC to Glorify God and Make Disciples through the Ministry and programs of the church.
Primary Responsibilities:
Office Management / Admin Support
- Provide pastor and other ministerial staff with administrative support
- Maintain church membership records, baptism records, Sunday School records, Church
Files, etc.
- Maintain on line calendar of church events and activities and prepare calendar for distribution
- Answer phone calls and route / assist callers with needs
- Prepare weekly bulletins and distribute
- Prepare weekly prayer / praise list
- Sort, distribute, and process all mail both incoming and outgoing
- Prepare materials for church organizations as requested, i.e., Deacons, WMU, Brotherhood, etc.
- Order and maintain all Sunday School materials, office supplies, janitorial supplies, and other items as requested
Financial Support:
- Familiar with posting on Bookkeeping Programs such as Quicken
- Responsible for maintaining accurate financial records
- Manage employee records and payroll
- Write checks and manage online payments, ensuring bills are paid timely
- Reconcile Bank Statements
- Prepare monthly financial report for business meeting
- Communicate with Church Treasurer to ensure accuracy of Financial Reports

- Willingness to learn new skills, work as a team player, and overall dependability and
accessibility are very important.
