The Maintenance Manager is responsible for managing the maintenance crews and customer relationships for a portfolio of commercial and residential landscape maintenance accounts. The Maintenance Manager reports to General Manager and has a strong work ethic and enjoys interacting with our team and clients.
Primary Responsibilities
Landscape Maintenance Management
- Leads maintenance team, including forecasting labor needs, hiring, managing, training and developing employees, conducting performance appraisals.
- Manage profitability and performance of maintenance contracts, ensuring costs are in accordance with budget and performance meets contracted quality and service level. Includes tracking budget and actual time and costs. Coaches and trains employees to correct performance issues.
- Manages daily operations, including schedules (weekly, monthly), routes, crew members, conflicts , equipment, needs, and repairs. Adjusts based on issues and changes that arise.
- Sets and manages to KPIs (Key Performance Indicators) for individual crews and overall organization. Reports on KPIs weekly to company leadership. Determines corrective actions for KPIs that are not on target.
Customer satisfaction
- Ensures quality and customer satisfaction through regular site visits, relationship building and communication with owners, clients, architects, general contractors and sub-contractors
Contracts, sales and renewals
- Tracks and completes renewal contracts, including pricing adjustments to achieve desired profitability
- Identifies, proposes and sells upsells and enhancement services; ensures work is completed successfully, on time and on budget. Uses CRM or other technology solution to track sales opportunities
- Scouts for new clients and works with other team members to generate proposals and close contracts
Other
- Performs routine technical calculations relative to work assignment, such as chemical application rates and quantities of materials and supplies needed, assists in ordering supplies and materials as needed
- Ensures a safe environment for employees, clients and general public, following company and OSHA procedures
Capabilities
- Ability to prioritize and multi-task in a fast-paced environment
- Effectively communicate (written/verbal) with other team members and leaders, including business development opportunities, schedules, coaching, corrective actions, customer issues, etc.
- Ability to communicate in Spanish is a plus, but not necessary
- Ability to interpret a variety of instructions in written, oral, diagram or schedule form
- Solid interpersonal skills, including conflict resolution skills with customers, employees and subcontractors.
- Ability to understand costs, revenue, billing, budgets, hours worked and other accounting and business concepts
- Basic math skills and ability to perform calculations such as area, volume
- Drive continuous improvement on processes
- Ability to use a computer, including Microsoft Office (Word, Excel, etc.) and ability to learn other applications used in performance and management of landscape services
Education, Qualifications and Experience
- Associates degree in a relevant field of study
- Three years of progressively increasing supervisory experience or an equivalent combination of education and experience
- Significant landscape experience, resulting in a clear understanding of different aspects of landscaping, turf maintenance, sitework, plant materials, plant diseases, pests and sitework
- Possession of valid driver’s license
- Certifications necessary for specific work unit, such as Commercial Pesticide Applicator, chemical applications, etc.
- Knowledge of turf grass (primarily fescue) requirements is a significant plus (not necessary)
Work Environment & Physical Demands
Standard working hours are Monday through Friday, 7:30am-5:00pm, with some weekend work due to weather and customer demand. Work environment is typically outdoors and involves machinery and toxic chemicals and loud noise levels. While performing the duties of the job, the employee is regularly required to stand, walk, crouch, climb, crawl and smell. The employee must frequently lift and/or move 50 pounds and must occasionally lift and/or move 100 pounds, depending on the needs of the specific work unit. Specific vision abilities required include close & distance vision, color vision, depth perception, and ability to adjust focus.
