Position Summary

We are seeking a Project Billing Administrator to support our finance and project management teams. This role is responsible for maintaining accurate client information, preparing and submitting invoices, tracking payments, and assisting with project-related financial documentation. The ideal candidate is detail-oriented, organized, and comfortable working independently in a fast-paced environment.

Key Responsibilities

  • Maintain and update client information and billing details
  • Create, review, and send invoices and statements to customers
  • Ensure accuracy of billing data and final invoices
  • Upload and submit invoices through customer AP platforms
  • Track payments and follow up as needed
  • Review and audit project personnel timecards
  • Maintain financial trackers and audit time/material charges
  • Identify discrepancies and communicate issues to the Project Manager
  • Issue debit and credit memos to correct billing errors
  • Ensure timely dispatch of invoices
  • Respond to client billing inquiries and account questions

Required Skills & Qualifications

  • Experience using accounting software
  • Proficiency in Microsoft Office Suite (especially Excel)
  • Strong administrative and clerical skills
  • Excellent written and verbal communication
  • Prior experience in invoicing or general accounting preferred
  • Strong math and problem-solving abilities
  • Ability to meet deadlines and work well under pressure
  • High attention to detail and strong organizational skills
  • Ability to work independently and collaboratively

Work Environment

This role operates in a professional office setting with hybrid flexibility. Standard office equipment—including computers, phones, and digital filing systems—is used regularly. In-office expectations may evolve as responsibilities grow.

Position Type / Schedule

This is a full-time role, Monday–Friday. Exact schedule may vary based on workload and project needs and reporting into Wheat Ridge, CO office.

Required Education & Experience

  • 2 years of accounting support experience
  • Associate degree in a related field
  • Strong proficiency in Microsoft Excel

Preferred Education & Experience

  • Bachelor’s degree in Accounting, Business Administration, or related area
  • Experience in engineering or construction industries
  • NetSuite experience

Work Authorization

Candidates must be authorized to work in the United States.
