Summary

The Administrative Secretary will be responsible for assisting with conducting and ensuring timely, accurate, and professional processing of Civil Papers for the courts, private attorneys, and public to support Tarrant County. The Administrative Secretary provides customers with professional, efficient, and courteous service to increase customer satisfaction. Responsible for general administrative support and intermediate-level clerical duties including data entry in several computer programs. Maintains compliance with state and local laws. Maintains records, compiles reports, and directs calls.

Essential Duties And Responsibilities

  • Processes high volume of civil and criminal documents originating from multiple Tarrant County, out of county, and out of state courts and municipalities. Declines documents that are not in proper format for service by deputies.
  • Performs routine clerical functions within various IT systems including Civil Serve, CAID, Odyssey, JIMS, Document Tracking, Techshare Jail, and Historical Civil Data. Compiles reports and maintains accurate records and files.
  • Attends meetings and classes to research and maintain knowledge of current legislation to ensure department compliance. Researches various questions from field deputies, courts, and the public through numerous law-based websites and law publications.
  • Responds to public inquiries via telephone and email and in person regarding status of service and financials of civil and criminal documents.
  • Mails time sensitive documents pertaining to court cases.
  • Monitors inventory and recommends the ordering of supplies and stocking of supply room for the office.
  • Acts as Notary Public on sworn affidavits for the deputies and public, maintaining legal compliance for the office.
  • Receives and logs cases for service documents picked up, dropped off, and returned between precincts.
  • Schedules writ of possessions for deputies. Maintains apartment lists, gate codes, and phone numbers to ensure officer safety.
  • May interpret for non-English speaking individuals.
  • Temporarily carries out office functions in absence of Office Manager.
  • Accepts and applies monies to court cases from internal and external agencies. Balances financials daily, weekly, and monthly for review and approval by Office Manager.
  • Maintains copiers, faxes, and other office machinery by coordinating maintenance calls.
  • Performs all other related duties as required.

Knowledge, Skills, & Abilities

  • Handles directions well.

  • Adaptable to new tasks.
  • Knowledge and basic understanding of civil and criminal law documents. Recordkeeping and interpersonal skills along with good communication and problem-solving skills are necessary.
  • Math, basic computer, public relations, data entry, accounting, and general office skills required.
  • Intermediate understanding of Microsoft Office Suite.
  • Excellent customer service and communication skills, both verbal and written.
  • Ability to work in a fast-paced environment.
  • Must be able to stay organized and know how to prioritize the workload.
  • Ability to work independently and as part of a team.
  • Advanced analytical skills.

Minimum Requirements

  • High School Diploma or GED
  • Three (3) full-time years office work experience
  • Current and valid driver license with a clear criminal record.
  • Must be bondable and become a notary public and NCIC/TCIC certified within one (1) year of hire.
  • Complete the Civil Process 20-hour class within one (1) year of employment.

Preferred Requirements

  • Knowledge of the different County systems (SAP, Civil Serve, Odyssey, JIMS, CAID, CAD, Lexus Nexus, Clear, TCIC/NCIC) preferred.

Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudication in the past seven years and may include credit reports, motor vehicle records, employment records and educational attainment. Physical Demands And Work Environment & Other Requirements

While performing the duties of this position, the incumbent may be required to bend, hear, keyboard, sit, stand, talk, work alone and with others, and work overtime. Must be able to lift up to 25lbs.
