Job Title: Transportation Specialist Exemption Status/Test: Nonexempt

Reports to: Transportation Supervisor Terms of Employment: 197 Days


Primary Purpose:

Under minimal supervision, organize and conduct the routine work activities of the transportation department and provide clerical services to the transportation supervisor. Coordinate routing of pupil transportation for regular and special needs programs districtwide to ensure safe, efficient, timely, and economical transportation services.

Qualifications:

Education/Certification:

Clear and valid Texas commercial driver’s license with Passenger (P) and School Bus (S) endorsements

High School Diploma or GED

Must be 18 years of age


Special Knowledge/Skills:

Ability to use software to develop route schedules, spreadsheets, and databases and do word processing. Knowledge of correct English usage, grammar, spelling and punctuation

Ability to read and understand documents including policies and procedures manuals

Ability to receive and give written and verbal instructions

Ability to pass U.S. Department of Transportation alcohol and drug tests and annual physical exam

Effective organizational, communication, and interpersonal skills

Ability to use software to develop spreadsheets, databases, and do word processing

Ability to prioritize workflow to address the multiple needs of the supervisor or department

Strong organizational, communication and interpersonal skills


Experience:

3 years experience as certified school bus driver (preferred)


Major Responsibilities and Duties:

Routes and Schedules

  • Layout and schedule all district bus routes in accordance with Texas Education Agency guidelines. Ensure all changes or additional bus runs are consistent with district policies, guidelines, and procedures.
  • Assign bus drivers, bus routes, vehicles, and driver substitutes for morning and afternoon shifts as directed by the transportation supervisor.
  • Post route schedules and state required route descriptions. Ensure each bus carries an accurate description of the morning and afternoon route.
  • Process requests and arrange for extracurricular transportation.
  • Prepare and update district maps showing areas served by each bus. Distribute maps to schools and to the public as directed.

Records, Reports and Correspondence

  • Prepare correspondence, memorandums, forms, requisitions, and reports for the supervisor and other transportation department staff.
  • Receive and process work orders.
  • Compile, maintain and file all reports, records and other documents as required including bus incident reports, trip forms, and student records.
  • Set up and maintain secure convenience files on all department employees in accordance with state, federal and district requirements. Coordinate file maintenance schedules with central office.

Communication

  • Answer incoming calls, take messages, and route them to the appropriate staff. Handle questions and requests falling within level of responsibility.
  • Notify drivers, parents, and school personnel of any changes in a student’s bus service such as an address change, change in pick-up and drop-off location, change in time or bus change. Help campuses to place new students on buses and advise drivers of new or dismissed students.
  • Respond to complaints about transportation services and address issues when appropriate. Redirect calls to transportation supervisor as needed.

Accounting

  • Perform routine bookkeeping tasks and maintain department budget records in an accurate manner including calculating trip tickets and billing appropriate department or campus for payment.
  • Order office supplies for department. Prepare purchase orders and payment authorization as directed.
  • Compile report time records, including leave requests and reports. Prepare payroll data on department employees.

Other

  • Process driving and safety records of all new applicants.
  • Follow district safety protocols and emergency procedures.
  • Maintain a calendar of department activities and staff schedules and make appointments as required. Make meeting arrangements including arranging and setting up facilities and equipment and preparing materials.

Tools/Equipment Used: Standard office equipment including computer and peripherals; school bus; two-way radio; safety equipment including but not limited to flares, reflective signs, and fire extinguisher

Posture: Prolonged sitting; frequent standing and twisting; occasional kneeling/squatting, bending, stooping, and pushing/pulling

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; prolonged driving; moderate walking, climbing stairs, grasping/squeezing, wrist flexion/extension, and reaching

Lifting: Limited light lifting and carrying (less than 15 pounds) on a daily basis

Environment: Frequent exposure to extreme hot and cold temperatures, noise, and vehicle fumes; regularly work irregular hours, and occasionally work prolonged hours

Mental Demands: Maintain emotional control under stress; work with frequent interruptions.
