ADMINISTRATIVE SPECIALIST I, II, III - Floating
GENERAL DESCRIPTION:
Under the direction and supervision of Tapestry’s Operations Manager, the Admin Spec. I, II, III position serves as a floating administrative support role providing comprehensive administrative and front office support for Tapestry offices and agency operations across multiple office sites as needed. The position travels between assigned office locations in Ukiah, Willits, and Fort Bragg to ensure continuity of operations and administrative coverage. The Admin Specialist serves as the first point of contact for clients, staff, service providers, and the public by answering phones, greeting visitors, providing information, and directing inquiries appropriately. Responsibilities include a variety of clerical and administrative duties such as scheduling appointments, managing referrals, maintaining client records, electronic health records, data entry, report generation, communication coordination, tracking system maintenance, and general office support. The position is also responsible for maintaining organized, clean, and professional common areas while supporting daily office operations and assisting with additional duties as assigned.
This role involves travel using a vehicle to various Tapestry sites or other locations essential to fulfilling job responsibilities. In the event a company vehicle is not available staff are expected to utilize their personal vehicles (mileage reimbursement provided). Other tasks may be assigned, based on department and/or business needs and the department supervisor.
PROFESSIONAL QUALIFICATONS:
Administrative Specialist I: An individual who has 0-2 years of administrative experience, or
Administrative Specialist II: An individual who has 3-5 years of administrative experience, or
Administrative Specialist III: An individual who has 6 years of administrative experience
- Must be 18 years of age and have a valid driver’s license for at least two years
- DMV driving record meeting agency insurance requirements
- Must be open and friendly when working with the public and office staff
- Strong computer skills and knowledge of various computer programs, including Microsoft Word, Microsoft Excel, Microsoft Outlook, Teams
- Strong spelling, grammar and writing skills
- Knowledge of the functions, principles and operations of public social service programs preferred
- Be sensitive to the local service population with regards to culture, religion, race, gender, socioeconomic standing, etc.
CONDITIONS OF EMPLOYMENT:
Clear background check with DOJ, CACI, FBI, Driver's License, Current Auto Insurance, Clean DMV Printout, required trainings post start date.
Medical conditions of employment: Obtain TB Test and Physical at time of offer.
SALARY:
Admin Specialist I Hourly Range: $19.31 - $23.47
Admin Specialist II Hourly Range: $22.35 to $24.64
Admin Specialist III Hourly Range: $25.87 to $31.45
