What are the responsibilities and job description for the EAP Office Coordinator - Employee Assistance Program (On-Site) (Days) position at Tanner Health?
Definitions
Provides professional, high quality, confidential, and timely assistance to clients, contracting company managers, and referral resources.
Develops and maintains linked data bases that contain client treatment records, contact information and other confidential personal health information including tracking, documenting, and implementing records storage and destruction policies.
Maintains database of case management/referral resources in the community and develops ongoing relationships with referral resources staying abreast of the most up-to-date information on community assistance and eldercare resources. Communicates and collaborates with hospital discharge coordinators and case managers to share and update resources.
Under direction of manager, serves as case management contact for clients requiring assistance with community resources, referrals, or eldercare and regularly reaches out to follow up and ensure adequate resource linkage and escalating resource requests to counselors for additional services when needed.
Maintains and continually updates complex master schedule involving multiple calendar systems for EAP Manager and Counselors including client scheduling, and follow-up, hospital committee meetings, internal and external presentations, and associated travel. Ensures manager or appropriate staff are alerted to any conflicts and problem-solves with manager or staff to resolve any scheduling issues.
Monitors due dates and deadlines for quarterly utilization reports, contracted companies' training requirements, newsletter and poster distribution, etc., and alerts appropriate people in advance.
Maintains current contract information, such as, company name, title and contact information of contact person, number of employees, behavioral benefits, and other potentially sensitive information in the EAP Expert data base in addition to updating the demographics data and routine organizational and individual file creation in the software. Serves as a software system administrator along with manager.
Assists with tracking and management of billing and credentialing data.
Researches special projects and compiles information as needed.
Inventories and maintains office supplies, program materials, and marketing materials.
Is proficient in Office software such as Word and Excel and accomplishes related productivity tasks accurately and in a timely manner with limited supervision.
Manages the EAP office as well as performing secretarial function including complex management of scheduling to ensure appropriate routing of clients through lobby and into and out of office areas according to confidentiality expectations.
Required Knowledge & Skills
Education: Associate Degree or 2 years of college, Bachelor's degree preferred
Experience: Five years of related experience. Requires broad knowledge of complex systems and procedures.
