Job Summary
The Admissions Coordinator serves as the first point of contact for individuals seeking services at our treatment facility. This role is responsible for managing the intake process, ensuring timely and compassionate engagement with clients, verifying eligibility, coordinating assessments, and supporting smooth transitions into appropriate levels of care. The Admissions Coordinator collaborates closely with clinical, administrative, and billing teams to uphold compliance, documentation standards, and client-centered care. This is an in-person role. Work hours are Monday-Friday 9:00 AM-4:00 PM.
Duties
- Conduct initial screenings and gather demographic, clinical, and insurance information
- Maintain accurate and confidential records in the electronic health record (EHR) system
- Verify insurance benefits and communicate financial expectations to clients in a clear and empathetic manner.
- Ensure all required documentation is completed prior to admission
- Complete all required admissions paperwork, including consent forms, HIPAA documentation, and program agreements.
- Collect rent or program fees as applicable, issue receipts, and coordinate with billing for follow-up.
- Maintain professional dress and demeanor in alignment with program standards and therapeutic environment.
- Complete routine and quarterly safety/emergency drills and submit documentation.
- Serve as a liaison between admissions, clinical, and administrative teams to ensure seamless client onboarding.
- Ensure all intake documentation meets regulatory and internal QA standards.
- Participate in audits, staff meetings, and training related to admissions, documentation, and compliance.
Qualifications
- Prior experience in an administrative support role required
- Prior experience working in a PHP/IOP setting, or with a behavioral health/substance abuse population preferred
- Bachelor's Degree preferred, will consider a candidate with a high school diploma and 4 years of experience in administrative support/admissions.
- Familiarity with EMR/EHR systems
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, etc.)
- Excellent organizational skills with attention to detail for documentation review and data accuracy
- Exceptional communication skills—both verbal and written—and professional phone etiquette
- Ability to handle sensitive information in compliance with HIPAA regulations
- Strong customer service orientation with the ability to manage multiple priorities efficiently
