Job Summary
Job Summary: Under general supervision of the Health Information Management Manager, incumbent is responsible for carrying out a wide variety of health information functions for TCC Heath Services. Provides quality services to all customers who require assistance from the Health Information Management program through various sources of communication. The HIM technician will manage, maintain and organize patient health-care records and other technical functions in a timely and efficient manner ensuring accuracy and providing customers with the highest quality of production. Guarantees the privacy of clients by safeguarding and protecting PHI in the performance of duties. Is responsible for efficiently and accurately preparing, scanning and quality checking documents in multiple electronic health record (EHR) systems. Will assist with internal/external record requests.

Essential Functions

Representative Duties: Under general supervision of the Health Information Management Manager, job incumbent will:
1. Responsible for obtaining copies of records from outside facilities pursuant to requests and authorizations. Regular communication with other hospitals, clinics, or departments for additional health information required to fulfill internal and external requests.
2. Answers telephone inquiries as required, from patients, attorneys, insurance companies, and other healthcare facilities. Communicates effectively with caller using proper telephone etiquette at all times.
3. Daily review and prioritization of document scanning and/or importing needs to ensure timely documentation in the EHR systems.
4. Responsible for medical records mail processing and sorting as required.
5. Process records in EHR worklist “buckets” to include individual and HIM inboxes and deletion requests.
6. Conduct quality review of scanned documents in the EHR’s for appropriate indexing and image quality to ensure integrity of scanned images by all TCC staff members.
7. Manage the inactive records and deceased records process.
8. Identify problems or issues with patient information and escalate to the HIMs Manager for assistance.
9. Maintain workload and daily productivity and report any findings to the HIMs Manager.
10. Provide training and assist other TCC staff members with documentation requests, records scanning, and document imaging processes within various EHR programs.
Other Responsibilities:
1. Works on projects as assigned or required and have the ability to work on various computer systems and applications.
2. During the absence of other staff members, may be required to assist with those duties.
3. Other job-related duties as assigned.4. Must be willing to travel to multiple sites based on the needs of TCC.

Minimum Qualifications
Minimum Qualifications:
1. High school diploma or GED required.
2. Two (2) years’ work experience in the Health Information Management field; OR an equivalent combination of relevant education and experience.
3. Must pass background check pursuant to the State of Alaska background check and federal Indian Child Protection and Family Violence Prevention Act (ICPA) requirements.
Knowledge, Skills and Abilities:
1. Possess knowledge and the ability to interpret Medical Power of Attorneys, Advanced Directives, Comfort Care and POLST documents.
2. Possesses and demonstrates general knowledge of HIPAA regulations, ROI standards, Privacy Act of 1974, Federal/State/IHS regulations and 42 CFR Part 2 relating to patient information.
3. Demonstrated proficiency in the following: word processing (Microsoft Word), spreadsheet (Microsoft Excel), database (Microsoft Access), e-mail, and internet research required. Knowledge of other various software and data management systems.
4. Knowledge of and demonstrated proficiency in understanding, using, and extracting information from complex EHR systems, including but not limited to: RPMS, ATHENA, AFCHAN, CERNER and REACH.
5. Well-organized individual capable of performing a variety of professional-level administrative duties with a high level of attention to detail.
6. Must be able to handle multiple interruptions in a polite and professional manner while maintaining attention to detail.
7. History of strong work ethic with highly reliable attendance and punctuality.
8. Ability to handle sensitive and confidential documents and/or information with the utmost discretion.
9. Ability to independently prioritize and accomplish tasks but also work in a team-oriented environment with a focus on cross-training.
10. Ability to work independently, take initiative, exercise sound judgment, and follow directions with minimal supervision.
11. Ability to read and comprehend statutes, regulations, and procedures, apply them to specific situations, and explain procedures and requirements to the public and others.

Physical demands: Work is in an office setting. Manual dexterity required for data entry and computer usage. Incumbent must be able to lift at least thirty pounds, when carrying charts. Standing for extended periods of time required. Incumbent must be able to work in a busy, and sometimes stressful environment.
