The Administrative Assistant/Front Office Receptionist plays a vital role in managing front office operations and providing comprehensive administrative support to a large team of 16 employees. This position requires handling a high volume of visitors and calls daily, ensuring smooth communication, efficient scheduling, and meticulous record keeping while maintaining confidentiality and professionalism.

 

Responsibilities

  • Manage front desk reception and greet visitors courteously
  • Schedule and coordinate appointments and calendars for team members
  • Handle incoming phone calls with professionalism and route them appropriately
  • Assist visitors and ensure a positive customer experience
  • Perform accurate data entry and maintain records securely
  • Process incoming and outgoing mail efficiently
  • Manage office supplies inventory and reorder as needed
  • File documents systematically to maintain organized records
  • Coordinate internal communications for the front office and team

 

Preferred Qualifications

  • 1 years experience in administrative support roles
  • High school diploma or equivalent
  • Proficiency with Microsoft Office Suite, Google Workspace, and Proprietary CRM software
  • Strong customer service and communication skills
  • Experience managing calendars and scheduling
  • Detail-oriented with excellent multitasking abilities
  • Effective time management skills
  • Ability to handle confidential information with discretion

Salary : $50,000 - $70,000
