Administrative Associate
We are looking for a strong and experienced Contract Administrative Associate to provide consistent, high-level general administrative support to members of HR leadership. This individual will be responsible for acting as a professional liaison with internal leaders.
The successful candidate will have strong Microsoft office skills and will excel in project management, communication and creative problem solving. The successful candidate will be distinguished by their ability to organize work, establish priorities, and set and meet individual and team goals. It is expected that the Administrative Associate for Human Resources will possess the ability to communicate effectively and professionally.
Summary of Key Responsibilities
- Manage extremely active calendar for members of HR leadership including scheduling internal and external meetings, and maintain strong collaboration with administrative peers to proactively address conflicts in scheduling
- Responsible for leading the coordination of the team meetings and the potential to assist in the coordination of other events as needed.
- Arrange travel, including air, and hotel & transportation.
- Manage and prioritize internal and external communications including: emails, arrangement of conference calls and WebEx meetings, preparation of agendas and other communication materials for internal and external use.
- Appropriately and discreetly manage information of a highly confidential and critical nature.
- Provide additional support as needed for broader Human Resources department including travel, calendaring , scheduling ad-hoc meetings and coordinating guests.
- College degree preferred with a minimum of 5 years related experience required.
- Outstanding verbal and written communication skills required with keen attention to accuracy and grammar.
- Expert knowledge of MS Office applications including MS PowerPoint, Excel and Word required.
- Prior work experience in a life sciences company and/or HR team is desirable.
