Duties and Responsibilities
- Coordinate participant appointments effectively, addressing conflicts or urgent needs, and communicating with stakeholders to meet scheduling protocols.
- Manage cancellation and rescheduling requests, ensuring timely communication to all relevant parties.
- Respond to incoming communications, appropriately screening, transferring, resolving, and documenting calls.
- Provide outstanding customer service and uphold core values.
- Maintain and update team member schedule availability in source systems.
- Document updates and communications in source systems as per department protocols.
- Conduct appointment confirmations and reminders, updating appointments as necessary.
- Review and improve scheduling processes for efficiency, recommending enhancements as needed.
- Provide guidance to staff on scheduling processes, ensuring they are well-informed and equipped.
- Troubleshoot and resolve basic issues, escalating to management when necessary.
- Work a varied schedule, including evenings and weekends as needed.
- Complete all required documentation accurately and timely.
- Maintain confidentiality of company procedures and information.
- Follow policies and procedures, participating in quality improvement activities, training, and meetings.
- Communicate regularly with the supervisor and team regarding workload and priorities.
- Complete mandated trainings, education, and occupational health screenings timely.
- Exercise flexibility in assignments as business needs evolve.
- Perform other duties as assigned.
- Excellent and accurate data entry skills with experience in multiple software platforms, including one year with Electronic Medical Records (EMR).
- Minimum of one-year experience in healthcare.
- Outstanding customer service orientation, especially in telephone and written communications.
- Problem-solving skills and persistence in challenges.
- Excellent organizational and communication skills.
- Ability to work independently with minimal supervision.
- Demonstrated ability to prioritize in a fast-paced environment.
- Experience and competency working with diverse backgrounds and cultures.
- Commitment to supporting vulnerable seniors.
- Experience in a PACE setting is a plus.
