EXPERIENCE REQUIRED: 1 year of experience in a general office setting. Experience in a dental office setting is preferred.
LANGUAGE REQUIREMENT:
· Bilingual required (English/Spanish).
· Good oral and written communication.
· Verbal ability for accurate and tactful explanations.
· Experience with Dental Terminology, NextGen, Dentrix, EPIC and Windows Office systems preferred.
· Typing of a minimum of 35 wpm.
· Dental records filing and dental terminology.
Position Summary:
The Patient Services Representative (PSR) performs clerical and administrative duties to support the daily operations of the Dental Department. This position is responsible for greeting patients, answering telephones, managing appointments, verifying insurance, and processing patient information to ensure a smooth and efficient clinical experience.
Essential Functions:
- Apply the AWAKEN process to meet patient needs and support excellent patient satisfaction.
- Answer and route telephone calls, take messages, and provide routine information to patients and staff.
- Greet and guide patients and visitors; arrange transportation when needed.
- Verify and enter patient demographic and personal information into the appropriate EHR program.
- Verify insurance benefits and eligibility using the NextGen and Medi-Cal eligibility portals.
- Schedule appointments by phone and in person; follow up on failed or canceled appointments; perform reminder calls or updates.
- Cover for the Patient Service Lead when on leave and perform assigned duties.
- Communicate equipment and office maintenance needs promptly.
- Collect patient payments, co-payments, and deductibles; issue receipts; process daily payments.
- Present treatment plan estimates and make financial arrangements with patients.
- Identify and resolve or escalate patient grievances per established protocols.
- Follow up on unpaid accounts during check-in/check-out to maintain collection standards.
- Stay updated on Medi-Cal coverage changes for dental services.
- Create records for new patients and assist with registration and medical history forms.
- Organize new patient charts and ensure all required documents are signed.
- Sort, label, and scan correspondence and referrals into the EHR system.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Ensure proper provider signatures on all reports, correspondence, and referrals before filing.
- Assist patients with record release/request forms as needed.
Additional Duties and Responsibilities:
- Maintain adequate inventory of clerical supplies and forms.
- Adhere to departmental policies, procedures, quality assurance, and safety standards.
- Participate in educational programs, in-service meetings, and departmental huddles.
- Perform other related duties as assigned or requested.
Job Requirements:
Education:
- High School Diploma or equivalent required.
Experience:
- Minimum of 1 year of experience in a general office setting.
- Dental office experience preferred.
Skills and Knowledge:
- Bilingual (English/Spanish) required, with strong oral and written communication skills.
- Familiarity with Dental Terminology, NextGen, Dentrix, EPIC, and Microsoft Office preferred.
- Typing speed: Minimum 35 WPM.
- Knowledge of Medi-Cal, Medicare, managed care plans, insurance rules and regulations, claims processing, and dental office operations.
- Understanding of OSHA regulations and safety procedures.

Working Conditions & Physical Requirements:
