Position Overview:
This critical role will oversee all aspects of Accounts Receivable, including onboarding new clients, evaluating creditworthiness, and preparing Schedules of Values (SOVs) for milestone-based billing and payment structures. The position also manages sales tax compliance—handling customer exemption certificates and collaborating with Avalara for tax collection, remittance, and reporting. Additional responsibilities may include support with selected general ledger reconciliations, journal entry postings, and conducting financial statement reviews and analysis.
Primary Responsibilities:
- Prepare and distribute weekly AR aging reports segmented by customer, job status, and sales representative for senior leadership; use reports to drive daily collections follow-ups and documentation.
- Record daily cash receipts, including ACH and wire payments.
- Research and resolve internal and external billing-related inquiries.
- Assess customer credit through D&B, recommend appropriate credit limits, and maintain records accordingly.
- Develop project-specific Schedules of Values outlining key billing milestones and corresponding payment terms.
- Manage and update customer sales tax exemption documentation in Avalara.
- Assist in the preparation and reconciliation of multi-state sales tax filings through Avalara on a monthly basis.
Qualifications and Experience:
- Proven experience in billing and collections is essential.
- Bachelor’s degree in Accounting or Finance is strongly preferred.
- Familiarity with NetSuite’s billing and collections workflow is ideal; experience with QuickBooks is a plus.
- Prior experience in the construction industry is advantageous.
- Demonstrated ability to manage competing priorities in a dynamic, fast-paced environment.
- Strong communication skills with the ability to interact effectively across all levels of internal and external stakeholders.
- Self-starter with strong multitasking capabilities and the ability to work independently.
- Proficient in Microsoft Excel, including use of VLOOKUPs and pivot tables.
- A working knowledge of multi-state sales tax regulations is a plus.
- Strong organizational skills and attention to detail, with the ability to identify discrepancies and ensure accuracy.
Salary : $68,640 - $72,000
