Duties
- Customer Assistance: Answer telephone and assist walk-in customers by responding to their requests for information on file within the department.
- Clerical Support: Open, date stamp and distribute incoming correspondence, prepare outgoing correspondence for distribution to customers as needed, record and maintain databases for associated permit applications submitted and processed in the department, develop computer-generated data formats, assist with the maintenance of the department paper and electronic filing system, (file records daily to avoid accumulation; file documents in related files); type correspondence as assigned; photocopy information as directed; ensure scanning of records is maintained.
- Fiscal Support: Accept payment from customers for fees associated with permit applications, plat reviews, and copies. Prepare associated receipts. Complete a daily deposit slip, complying with the requirements of the agency's fiscal department. Prepare a daily receipt log for the department. Purchase department supplies
- Equipment Maintenance: Provide support to the Environmental Health staff with related copier, fax and telephone maintenance issues. Maintain copier and fax machine cartridges
Experience
- Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: One year performing secretarial or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services Specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
