As the Team Assistant-Global Product & Launch Strategy (GPLS), Takeda's global commercial strategy organization focused on unlocking the full potential of Takeda's pipeline and global brands by building product strategies that bring transformative benefits to the lives of patients, you will be empowered to provide administrative support to the various leaders and teams within GPLS.
How you will contribute:In this role you will be responsible for providing administrative support for various leaders within GPLS including calendar management, travel arrangements including, hotel accommodations, and ground transportation where needed
Perform routine administrative duties, involving contact with and exposure to confidential materials and information
Demonstrate ability to draft basic correspondence / documents and proofs work to ascertain communication is clear in tone and error free
Respond to requests for information from internal employees and external vendors in a timely manner
Meeting Planning – logistics for team meetings, supporting agenda and meeting notes for team meetings
Organization of offsite meetings, team events, receptions, large meetings, Congresses with team members
Coordination with external vendors
Book meeting rooms
Arrange catering as necessary
IT-related support
Effectively manage expenses being conscientious on all spending, i.e., air travel, hotel bookings, office supplies, etc. and researching less expensive alternatives and following OPEX guidance
Systems
Microsoft Office Suite applications | Outlook, Teams, Word, Excel, PowerPoint
CONCUR | Expense reporting and travel system
Ariba | Contract and office supply ordering - Attend trainings as necessary
GEARS submissions | HSA compliant system

Assist and create a cohesive team environment that includes working with all team members in respective departments or cross-functional in teams
Attend courses that enhance technology skills
Identify and attend internal and external events to enhance administrative skills
High School diploma or GCED required
A minimum of 6 years of office administration experience
Fluency in English language (written and oral)
Extensive working knowledge of MS Word, Excel & PowerPoint and MS OUTLOOK
Experience with expense reporting & Purchase order systems/software
Strong interpersonal skills
Must be able to interact and communicate effectively with individuals at all levels of the organization
Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling and meeting deadlines
Must be able to work in a fast-paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands
Must be flexible in handling multiple tasks of a different nature and have the ability to prioritize efficiently
Must be able to handle confidential information and issues effectively and without breach of confidentiality
You will be required to balance changing priorities, be focused, detail-oriented, thrive in a fast-paced environment, and able to prioritize tasks and make decisions in a timely manner.
