What are the responsibilities and job description for the Quoting Coordinator position at Tailwind Voice & Data?
The Field Service Delivery Quoting Coordinator is responsible for coordinating, dispatching and following up on quote deliverables as assigned. This role will negotiate price and prepare quote packages for Engineering quote generation. This role will serve as the liaison between technicians and engineering. This role will require the ability to communicate any pertinent information regarding the survey to Field Service Delivery upon quote approval as requested. In addition, the Quoting Coordinator may be assigned to plan out and schedule for multi-sites as needed and may assist with other coordinator duties as time permits or as assigned.
Essential Functions
- Reviews daily requests for surveys and quotes received via email or telephone. Quotes are also received from internal sources.
- Review customer requirements to develop a comprehensive understanding of requirements to meet expectations and accuracy.
- Communicate with customer to obtain more information, answer questions, provide feedback as needed.
- This role will collaborate closely with key stakeholders, working with Program Manager, Engineering and clients, to compile all specifications and inputs needed to build accurate quotes.
- Provide status updates to customers on the status of quotes.
- Responsible for following templates, price points and ask for assistance if request is not clear.
- Review and negotiate terms and conditions to ensure alignment with company policies and customer requirements.
- Negotiate the best rates for products, services and rental equipment as needed to increase bottom line margin.
- Collaborate with the Vendor Management team on tech and equipment shops.
- Identify, develop and gather resources to complete quotes.
- Responsible for delivering accurate, timely and comprehensive quote packages to Engineering.
- Document process and procedures.
- Maintain quotes database by tracking, updating status and documenting quotes.
- Escalate issues and delays to Vendor Management Program Manager
- Other Duties as assigned
Required Education and Experience
- High school diploma or equivalent.
- Strong proficiency with computer and software programs including all Microsoft suite.
- Self-Starter, creative problem solver, and self-sufficient.
- Strong interpersonal skills and ability to communicate ideas.
- Ability to be flexible, adaptable and multitasking skills needed, including the ability to juggle multiple, urgent requests.
- Excellent communication, time management and organizational skills.
