We currently have an exciting opportunity for a full-time HR Operations Specialist to join our HR team. This individual will be responsible for providing support in different areas of HR Operations.
What You’ll Do | Key Accountabilities
- Execute routine and intermediate employee data transactions within the HRIS
- Serve as a point of contact for employees, managers, and internal partners, providing guidance on HR processes and employee lifecycle data
- Partner with HR and management to ensure compliance with I-9 and E-Verify requirements
- Coordinate and communicate with employees regarding I-9 completion, corrections, and compliance issues
- Support I-9 system maintenance, issue resolution, and system upgrades
- Process departmental invoices accurately and in a timely manner
- Learn and support access controls within employee badging systems
- Monitor badge system functionality, troubleshoot system and equipment issues, and recommend process improvements
- Run standard and ad hoc reports and analytics related to HR Operations workflows using Microsoft Office tools
- Coordinate with minor candidates and store managers to ensure valid work permits are obtained prior to hire
- Track expiring minor work permits and follow up with employees and managers as needed
- Enter and maintain work permit data in PeopleSoft
- Process new hire and rehire verifications through the Social Security Administration
- Research, resolve, and follow up on Social Security no-match issues
- Respond to initial unemployment claims by collecting and submitting required termination documentation
- Partner with third-party vendors to support employment verification requests
- Provide production support for HR Operations systems and tools
- Support additional HR Operations tasks and cross-functional projects as assigned
- Minimum of 1 year of experience in Human Resources or HR Operations
- College degree or equivalent professional experience preferred
- Working knowledge of HR operations, processes, and compliance requirements
- Proficiency in Microsoft Word and Excel
- Strong written and verbal communication skills
- Demonstrated ability to quickly learn new systems, tools, and processes
- Detail-oriented with strong organizational and time-management skills
- Ability to work independently with minimal supervision while managing multiple priorities
- Collaborative team player with a solution-oriented mindset
- Critical thinker who can identify issues, recommend solutions, and follow tasks through to completion
Work Environment, Physical & Mental Demands
- Ability to sit and work at a computer keyboard for extended periods of time
- Ability to stoop, kneel, bend at the waist, and reach daily
- Able to lift and move up to 25 pounds occasionally
- Must utilize visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer and office equipment
