Inventory Specialist – Job Description

Position Summary

The Inventory Administrator is responsible for maintaining accurate inventory records, monitoring inventory levels, and supporting the efficient flow of raw materials, packaging supplies, and finished goods throughout the manufacturing operation. This role ensures inventory accuracy through cycle counts, system transactions, reconciliation, and coordination with Production, Purchasing, Warehouse, Logistics, and Quality departments.

Key Responsibilities

  • Maintain accurate inventory records for raw materials, packaging materials, work-in-process (WIP), and finished goods.
  • Process inventory transactions, including receipts, transfers, adjustments, production issues, and finished goods completions in the ERP system.
  • Perform daily, weekly, and monthly cycle counts and assist with annual physical inventory counts.
  • Investigate inventory discrepancies and perform root cause analysis to maintain inventory accuracy.
  • Monitor inventory levels and communicate material shortages or overstock situations to Purchasing and Operations.
  • Coordinate with Warehouse, Production, and Logistics to ensure timely movement of materials throughout the facility.
  • Verify receiving and shipping documentation for accuracy and completeness.
  • Reconcile inventory balances between physical inventory and ERP system records.
  • Assist with maintaining inventory locations, item master data, lot numbers, and batch traceability.
  • Generate inventory reports and analyze inventory trends, usage, and stock levels.
  • Support production scheduling by ensuring materials are available for manufacturing.
  • Ensure proper inventory control procedures are followed in accordance with company policies and quality standards.
  • Assist with obsolete inventory management, product disposition, and inventory optimization initiatives.
  • Maintain documentation related to inventory transactions, cycle counts, and inventory audits.
  • Collaborate with Quality to ensure proper handling of quarantined, nonconforming, and released materials.
  • Support internal and external audits by providing inventory documentation and records.
  • Follow OSHA regulations, company safety policies, and Good Manufacturing Practices (GMP).
  • Promote continuous improvement initiatives to improve inventory accuracy, warehouse efficiency, and material flow.
  • Perform other duties as assigned by the Warehouse Manager, Operations Manager, or Supply Chain Manager.

Requirements:

Inventory Specialist – Job Requirements

  • 2–5 years of experience in inventory control, warehouse operations, logistics, manufacturing, or supply chain management.
  • Experience maintaining inventory records for raw materials, work-in-process (WIP), packaging materials, and finished goods in a manufacturing environment.
  • Proficiency with ERP systems (such as SAP, Oracle, Microsoft Dynamics, NetSuite, or similar) and inventory management software.
  • Advanced proficiency in Microsoft Office, particularly Excel, including spreadsheets, formulas, pivot tables, and inventory reporting.
  • Experience performing cycle counts, physical inventories, inventory reconciliations, and inventory audits.
  • Strong understanding of inventory control principles, material transactions, lot traceability, batch control, and FIFO/FEFO inventory practices.
  • Ability to investigate inventory discrepancies, perform root cause analysis, and implement corrective actions to improve inventory accuracy.
  • Experience processing receiving, shipping, transfers, production issues, inventory adjustments, and finished goods transactions.
  • Knowledge of warehouse operations, shipping and receiving procedures, and material handling processes.
  • Familiarity with Good Manufacturing Practices (GMP), Quality Management Systems (QMS), and ISO 9001 standards is preferred.
  • Knowledge of OSHA regulations, workplace safety practices, and proper material handling procedures.
  • Strong analytical, mathematical, and problem-solving skills with exceptional attention to detail.
  • Excellent organizational, communication, and time management skills with the ability to prioritize multiple tasks.
  • Ability to work independently and collaboratively with Production, Purchasing, Warehouse, Logistics, Quality, and Customer Service teams.
