Summer Program Operations Assistant

Position Summary
The Summer Program Operations Assistant provides logistical and administrative support for summer professional development programs. This role supports housing, facilities, registration, materials management, and daily participant services. The position requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.
Essential Duties and Responsibilities
Facilities & Housing Coordination
Collect fob boards from Security and label fobs with assigned room numbers
Coordinate dorm readiness and room status with Housekeeping
Deliver and retrieve fans in dorm rooms
Coordinate with Mr. Reiff regarding classroom readiness and availability in Wu
Post and remove signage in corridors and public spaces
Prepare and clean prep rooms in Wu using brooms, soap, and paper towels
Set up tables and chairs in the Wu lobby for book representatives
Program & Administrative Support
Organize and manage participant registration
Match nametags with fobs
Photocopy and digitize materials; upload digitized files to Dropbox
Maintain log books and move materials to classrooms
Deliver daily announcements
Monitor parking to ensure vehicles are in appropriate areas
Organize and manage Social Hour activities
Provide basic IT support to participants and instructors
Provide office coverage from 4:00–7:00 PM, answering phones and assisting with questions
End-of-Summer Responsibilities
Move remaining classroom materials to prep rooms and box appropriately
Coordinate dorm check-out and room status with Housekeeping
Retrieve all fans from dorm rooms
Verify return of two fobs per room and return fob boards to Security
Ensure Wu classrooms are restored and ready for school use
Remove all signage
Clear and organize the office; sort, label, and box materials
Required Qualifications
Strong organizational and time-management skills
Ability to follow detailed instructions and manage multiple tasks
Strong communication and customer service skills
Basic technology skills (scanning, file uploads, basic IT troubleshooting)
Ability to lift, move, and set up materials, tables, and boxes as needed
Preferred Qualifications
Familiarity with campus operations or summer programs
Physical Requirements
Ability to stand, walk, lift, carry, and move materials throughout the workday
