Job Summary
The Administrative Specialist provides essential support to Tact Tech Security Solutions by performing administrative, clerical, and secretarial duties to ensure smooth and efficient office operations. This role supports management, staff, and clients through documentation management, scheduling, communication, and other administrative tasks while maintaining a professional and organized work environment.


Key Responsibilities

Documentation & Filing

  • Maintain organized filing systems, both digital and physical.

  • Prepare, sort, and distribute incoming and outgoing mail and correspondence.

Data Entry & Record-Keeping

  • Accurately input and update information in databases, spreadsheets, or tracking systems.

  • Compile and prepare reports as requested by management.

Office Supply Management

  • Monitor and maintain inventory of office supplies and equipment.

  • Place orders for supplies and coordinate with vendors as needed.

Administrative Support

  • Draft, format, and edit documents such as memos, reports, and presentations.

  • Manage calendars, schedule meetings, appointments, and events.

Reception & Communication

  • Answer and direct phone calls, take messages, and respond to inquiries professionally.

  • Greet and assist visitors, ensuring a welcoming and professional atmosphere.

Meeting Coordination

  • Prepare meeting agendas and materials.

  • Take accurate meeting minutes and distribute them promptly.

Recruitment Support

  • Assist in posting job openings, screening resumes, conducting phone interviews, and scheduling in-person interviews.

  • Maintain recruitment trackers and communicate with candidates regarding hiring processes.

Onboarding & Offboarding

  • Prepare onboarding materials and coordinate new hire orientation sessions.

  • Handle exit documentation and conduct exit interviews as directed.


Qualifications

Required

  • High school diploma or equivalent.

  • Previous experience in an administrative or secretarial role.

  • A valid Florida driver’s license.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Familiarity with office equipment (copiers, scanners, etc.).

  • Strong organizational and multitasking abilities.

  • Excellent verbal and written communication skills.

  • Attention to detail and problem-solving aptitude.

  • Professional demeanor and customer-service-oriented mindset.

Preferred

  • Associate’s degree in Business Administration or a related field.

Physical & Work Requirements

  • Office-based role requiring extended periods of sitting and computer use.

  • Occasional lifting of office supplies or files may be required.

  • Ability to perform tasks with attention to detail under time-sensitive conditions.

  • Ability to perform performance-related work as assigned, consistent with the physical, cognitive, and operational demands of the role.
