What are the responsibilities and job description for the Project Manager position at T3 Expo?
We are seeking a Project Manager based in our Lakeville, MA facility to oversee the end-to-end fulfillment lifecycle for our client’s events and trade show assets.
This role has two disciplines.
- Owns the Supply, Order, Fulfill, and Return workflow, ensuring assets are accurately inventoried, orders are placed and managed through an online ordering system, shipments are executed correctly, and returns are reconciled and restored. This role serves as the operational backbone of the program, providing visibility, consistency, and reliable execution for both internal teams and the client.
- Responsible for the successful service delivery of our client’s events and programs. Our Project Managers are expected to be proactive, out-of-the-box thinkers and problem solvers. Our Project Managers participate in day-to-day client relationships and, when applicable, with their agency on record. They are positioned and empowered to ensure that our clients' needs are covered; our customer experience is a pivotal part of the T3 Expo strategy.
General Responsibilities
- Supporting the account team is vital to maximizing successful event/project performance.
- Managing client deliverables, including project planning, execution, and delivery.
- Operate to effectively and efficiently manage across the account operating model to optimize performance and client results.
- Maintain and grow client value and satisfaction while contributing at both the tactical and strategic levels.
- Oversee client-facing activities by preparing materials, assisting in solution development, and identifying opportunities for client growth
- Prepare client-facing materials and documents to support project planning, execution, and communication.
- Assist in identifying client needs and contribute to solution development to enhance project outcomes.
Key Responsibilities | Event Management
- Engage account with leadership and determine strategies vital to maximizing successful event performance
- Manage event production schedule and ensure internal and external stakeholders are following key milestones and financial targets.
- Adhere to processes designed to improve and sustain business performance.
- Heavily engaged in kick-off calls (Design, Detail, Production), and pre-production meetings (internal & external), develop deeper understanding on deliverables, roles, and responsibilities, and eliminate duplication of effort.
- Participate in cadence meetings including monthly, weekly, and daily scrums.
- Work closely with functional teams (Freight, Graphics, Electrical, Deco, etc.) to deliver unique customer requirements.
- Engage and support solutioning with functional groups when teams or clients are encountering execution or financial obstacles.
- Onsite supervision and support of the execution of the supporting areas of an event.
- Observe the end-to-end delivery workflow model for all types of events.
- Work closely with the pre-sevent and onsite support team to ensure seamless delivery of support throughout all stages of the journey.
- Process orders for graphics, furnishings, hanging signs, and other products and services provided by T3 as necessary.
- Ability to convey a sense of urgency and drive issues/projects to closure.
- Demonstrated desire for continuous learning and improvement.
Key Responsibilities | Asset Management
Supply (Asset & Inventory Management)
- Maintain accurate, real-time inventory of all client-owned assets, event materials and T3 managed equipment.
- Ensure assets are properly labeled, stored, scanned, and organized according to T3 standards.
- Monitor inventory thresholds and coordinate replenishment as needed.
- Conduct regular cycle counts, monthly audits, and condition assessments.
- Maintain asset histories, condition notes, and usage logs within the inventory management system (Airtable).
- Partner with warehouse, production, and operations teams to forecast upcoming needs and identify risks.
Order (Online Ordering System & Intake)
- Support and manage the client’s online ordering system, ensuring kits and options are accurately configured and current.
- Review incoming orders for completeness, quantities, timelines, and event and shipping details.
- Confirm orders through automated and direct client communication.
- Flag conflicts, shortages, or timeline risks early and coordinate resolutions with internal teams.
- Maintain visibility into upcoming events and order volume to support planning and prioritization.
Fulfill (Order Processing & Shipping)
- Oversee event pulls, kitting, staging, and packing to ensure accuracy and on-time delivery.
- Conduct QC checks including photo documentation and manifest generation.
- Coordinate outbound shipments with preferred carriers and freight partners.
- Ensure shipping labels, manifests, and tracking information are generated and shared with the client.
- Work closely with Operations and Client Services to manage changes, exceptions, or late updates.
Return (Inbound, Inspection & Restock)
- Manage return instructions, RMAs, and labels included with outbound shipments.
- Track inbound returns and confirm completeness upon receipt.
- Inspect returned assets for damage, cleanliness, and condition.
- Update inventory status and flag items requiring cleaning, repair, or replacement.
- Coordinate restocking and ensure assets are event-ready for future use.
Quality Control (QC)
- Own QC standards across fulfillment and returns.
- Maintain visual records including photos, checklists, and damage logs.
- Enforce handling and packing protocols aligned with client brand standards and T3 SOPs.
Client Communication & Program Support
- Serve as the primary logistics contact for the client.
- Provide clear status updates on inventory health, orders, shipments, and returns.
- Participate in regular planning calls to review upcoming events and anticipated demand.
- Deliver pre-event readiness confirmations and post-event reconciliation summaries.
Warehouse Coordination
- Direct warehouse staff supporting pulls, staging, packing, receiving, and restocking.
- Train team members on client-specific workflows, QC standards, and systems.
- Partner with warehouse leadership to improve layout, efficiency, and accuracy.
- Ensure safety, cleanliness, and operational consistency.
Systems, Reporting & Continuous Improvement
- Maintain clean, accurate data across inventory and fulfillment systems.
- Produce regular reporting on inventory usage, order volume, and replenishment needs.
- Identify operational gaps and recommend process improvements across the fulfillment lifecycle.
- Support integration of T3 tools and digital workflows into daily operations.
Qualifications
Required
- 2–3 years of experience in event operations, or project management.
- Education: Bachelor’s degree
- Strong organizational skills with the ability to manage multiple timelines and priorities.
- Experience coordinating shipments, freight, and warehouse workflows.
- Clear written and verbal communication skills.
- High attention to detail and accountability.
- Ability to lift and handle materials in a warehouse environment.
- Willingness to travel (up to 30%)
- Hybrid Work Environment (2-3 days per week - Lakeville, MA office)
Technical Skills
- Proficient in Google Drive including Docs, Sheets, Chat, and Meet.
- Microsoft Office including Word, PowerPoint, especially spreadsheets, database, and reporting tools.
- Ability to navigate Box as the primary cloud storage platform.
- Salesforce and other inventory/work order management software
- Comfortable with project management tools (e.g., Airtable, etc ).
