JOB SUMMARY
The Vessel Operations Coordinator reports directly to the General Manager, or his/her designee. The Vessel Operations Coordinator is responsible for carrying out day to day vessel dispatching duties and administrative tasks as required by the GM or Director. The Vessel Operations Coordinator(s) are the primary on call persons for dispatching vessels, with support as needed from the GM and Director.
DUTIES AND RESPONSIBILITIES
- Responsible for supporting safety initiatives of Teichman Group companies.
- Under supervision from GM, coordinate crew changes and turnover notes of all vessels.
- Receive customer orders and appropriately schedule vessels for jobs. Ensure alignment with corporate work order and invoicing structure.
- Compile vessel schedule spreadsheet and distribute to applicable team members daily. Responsible for ensuring all information is captured for accurate reporting.
- Compile operational reports as needed and/or requested.
- Send out all applicable customs/USCG notifications and file appropriate paperwork with customs as required.
- Gather vessel logs and operational paperwork and distribute to customers or management as needed.
- Manage front desk and field visitors appropriately.
- Maintain inventory on office and vessel supplies and procure appropriately.
- Perform administrative tasks as needed
- Input complete job information into accounting system for billing and follow up with customer concerns or questions as needed.
- Ensure highest level of customer services is provided at all times.
- Review preventative maintenance tasks for all vessels and log appropriately.
- Support scheduling and tracking of crew training.
- Support tracking and scheduling of vessel maintenance and certifications.
- Other duties as assigned by management.
SHIFT INFORMATION
The standard work schedule for Vessel Operations Coordinator is Monday – Sunday (0700HRS-1700HRS), plus answering calls and dispatching after hours as needed and determined by the customer requirements. The coordinator will work this schedule in alternating weeks, having every other week off work.
