.Job summary
The employee in this position is responsible for general Bookkeeping & Administrative duties. Admin duties include; answering phone calls, handling company mail, drafting letters, administering project documents, etc. Bookkeeping duties include basic accounting functions such as; posting sales, reconciling bank deposits, managing payables and receivable, etc. This position is vital to the success and operation of the company as varying transactions flow through this position including, but not limited to, the duties listed here.
Summary of essential job functions
- Typing weekly job and scheduling reports.
- Answering phones on a multi-line system
- Auditing sales and generating profit sheets on each project
- Auditing subcontracts bills, generating checks and 1099’s
- Provide insurance forms, lien release, and other construction documents
- Managing inventory spreadsheets
- A/P and A/R functions including collection calls
- Bank deposits and reconciliations
- Filing job folders, purchase order, packing slips, etc.
- Entering basic sales and invoices in QuickBooks and generating reports
- Verifying vendor and supplier invoices and packing slips
- Managing company supplies and petty cash
- Invoice reporting for buying group
