Job Summary
The Legal Practice Assistant provides critical administrative and litigation support to attorneys within a regional law firm. This role is responsible for managing legal documentation, maintaining accurate case files, and coordinating schedules and deadlines. The position ensures efficient workflow across multiple attorneys and contributes to the overall effectiveness and professionalism of the legal team. Three primary responsibilities include preparing and managing legal documents, supporting attorney billing and scheduling, and maintaining compliance with court and firm procedures.
Key Responsibilities
- Prepare, format, and manage legal correspondence, pleadings, discovery, and other litigation documents under time-sensitive deadlines.
- File documents in accordance with court procedures at federal, state, and local levels.
- Run conflict checks, prepare engagement letters, and assist with client matter onboarding.
- Maintain paper and electronic files in the document management system, adhering to filing protocols and retention policies.
- Manage attorney schedules using calendaring tools, track deadlines, and coordinate meetings.
- Arrange travel and accommodations for attorneys using corporate travel tools.
- Prepare and submit expense reports and assist with billing, time entry, and Proforma review.
- Collaborate with other practice assistants to provide seamless administrative support across the practice group.
- Adhere to firm policies, procedures, and confidentiality standards.
- Perform other related duties as assigned.
Minimum Education & Experience Requirements
- High school diploma or equivalent required; additional education in legal studies preferred.
- Minimum of 3 years’ experience as a litigation practice assistant or legal secretary.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
Special Requirements
- Experience with legal billing systems (e.g., 3E) and court filing procedures.
- Strong organizational and multitasking skills in a fast-paced legal environment.

Pay: $80,000.00 - $85,000.00 per year
