Job Description
We are seeking an experienced Grant Manager to support CEDEP and BGM programs by leading grant application development, coordinating post-award implementation activities, monitoring budgets and expenditures, and ensuring timely programmatic and financial reporting. This role serves as a key liaison between program leadership, fiscal teams, procurement, contracts, and funding agencies to ensure grant activities remain compliant, well-documented, and aligned with organizational objectives.
Key Responsibilities
Grant Application Development & Submission
- Lead and coordinate grant application activities from funding opportunity review through final submission.
- Review Notices of Funding Opportunity (NOFO), Funding Opportunity Announcements (FOA), Notices of Award (NOA), and related requirements.
- Develop and maintain application timelines, submission checklists, SharePoint repositories, and version control processes.
- Schedule and facilitate grant application planning meetings with program leadership and contributors.
- Coordinate budget preparation and budget justification development.
- Compile narratives, attachments, certifications, and supporting documentation.
- Conduct final quality assurance reviews to ensure compliance with submission requirements.
- Manage application submission logistics and maintain documentation of completed submissions.
Post-Award Grant Management
- Review grant award terms and conditions and identify key compliance requirements.
- Coordinate startup activities and communicate funding requirements to program stakeholders.
- Support implementation planning, including budgeting, staffing, contracts, procurement, travel, and reporting requirements.
- Prepare and submit expansion requests and funding acceptance documentation when required.
- Maintain complete post-award records and documentation for audit readiness.
Budget Management & Financial Oversight
- Develop and maintain monthly expenditure reports and budget forecasts.
- Monitor spending against approved budgets and identify potential variances.
- Analyze staffing expenditures and support personnel cost forecasting.
- Coordinate resolution of budget discrepancies and financial corrections.
- Review purchase requests, invoices, equipment purchases, and program expenditures for compliance.
- Compile budget documentation, contracts, scopes of work, and financial reports as needed.
Reporting & Grant Closeout
- Manage grant reporting calendars and ensure timely completion of required submissions.
- Coordinate collection and reporting of programmatic performance metrics.
- Collaborate with fiscal partners to compile financial reports and expenditure data.
- Submit required reports through applicable grant management systems and portals.
- Respond to funding agency inquiries, revisions, and corrective action requests.
- Coordinate grant closeout activities, including final expenditures, contract closeouts, and documentation archiving.
- Maintain complete audit-ready grant files and closeout records.
Stakeholder Communication & Fiscal Governance
- Participate in funding agency meetings and provide grant status updates.
- Lead expenditure review meetings and communicate financial performance, risks, and projections.
- Prepare meeting materials, track action items, and ensure timely follow-up.
- Collaborate with program leadership and internal business units, including contracts, fiscal, compliance, and procurement teams.
- Identify and escalate grant-related risks impacting compliance, spending, timelines, or deliverables.
- Support administrative activities such as drafting correspondence, routing approvals, and preparing documentation for leadership.
- Respond to fiscal, legislative, and oversight requests while maintaining accurate records and audit trails.
Required Qualifications
- Experience in grant management, grant administration, budgeting, accounting, contract management, or related fields.
- Strong understanding of grant lifecycle processes, including application development, award management, reporting, and closeout.
- Experience interpreting grant requirements, funding guidance, and compliance standards.
- Strong analytical and financial management skills.
- Advanced proficiency in Microsoft Excel and experience preparing expenditure reports and financial analyses.
- Excellent organizational, communication, and project coordination skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong attention to detail and commitment to maintaining accurate documentation.
- Ability to work independently and exercise sound judgment.
Preferred Qualifications
- Experience with federal grant administration and funding programs.
- Experience coordinating activities across program, fiscal, procurement, and leadership teams.
- Strong Microsoft Office skills, including Excel, Outlook, Word, and PowerPoint.
- Experience with SharePoint and document management systems.
- Knowledge of grant compliance, reporting requirements, and audit readiness practices.
