What are the responsibilities and job description for the Front Desk / Patient Experience Coordinator position at Synergy Spine & Performance?
Front Desk / Patient Experience Coordinator
Part-time with possibility for full-time | On-site | 22–27/hour depending on experience
Want to grow with a company that expects you to take ownership?
Synergy Spine & Performance is an integrated health and performance clinic in Chicago combining chiropractic care, physical therapy, personal training, acupuncture, massage, contrast therapy, and advanced technology under one roof.
We work with an active population, including postpartum patients, helping people get their bodies back and perform at their best.
We're growing, we promote from within, and we're looking for someone who wants more than a front desk job.
You will learn how a high-performing clinic operates from the inside out. You'll work directly alongside doctors and clinicians, interact with patients every day, help solve problems, build systems, and have the opportunity to grow into a larger role as you prove yourself.
The Role
As our Front Desk / Patient Experience Coordinator, you're one of the most important people in the clinic.
You're often the first person a patient interacts with and the person helping keep their experience moving forward.
No two days look the same. You'll own the front desk, support patients, communicate with clinicians and leadership, keep the clinic organized, and notice what needs to happen next.
We want someone who sees a problem and does something about it.
What You'll Own
Patient Experience
- Welcome patients and create a warm, professional experience from the moment they walk through the door.
- Schedule appointments, answer phones, process payments, and manage front desk communication.
- Respond quickly and professionally to new patient inquiries and help move prospective patients into active care.
- Follow up on missed appointments, unscheduled visits, unpaid balances, and other gaps in care.
- Communicate with patients in a way that reflects the standard and quality of Synergy.
Clinic Operations
- Keep the clinic clean, organized, and ready for patients throughout the day.
- Handle daily upkeep and light facility maintenance.
- Accurately track daily statistics and communicate relevant information to leadership.
- Document processes and create systems that make your responsibilities easier to manage and the clinic run better.
- Communicate clearly and professionally with leadership and clinicians.
- Step in where the team needs support and take responsibility for getting the job done.
How We Work
Our core values aren't words on a wall. They are how we expect you to show up.
OWN ITWhen you see a problem, address it. Don't wait for someone else to notice. Challenge yourself to solve problems and always consider the experience from the patient's perspective.
PRACTICE WHAT WE PREACHSupport your team and ask for support when you need it. Take care of yourself mentally and physically so you can show up fully for the people around you.
MASTER THE CRAFTStay curious. Seek and share knowledge. Learn our systems, improve your skills, document what you learn, and look for ways to get better at your role.
RAISE THE STANDARDCare about doing things well. Set goals. Look for ways to improve the experience for patients and your teammates. Take pride in being part of Synergy.

- You are a self-starter who can problem-solve independently.
- You are reliable, personable, and comfortable interacting with patients throughout the day.
- You notice details other people miss.
- You have a strong work ethic and genuinely believe no task is beneath you.
- You are comfortable asking for help when you need it and stepping up when your team needs you.
- You care about the experience patients have at every touchpoint.
- You want to keep learning and growing rather than simply clocking in and out.
- You're interested in health, fitness, sports performance, or helping people feel better in their bodies.
Experience
Healthcare administration or front desk experience is preferred, but we're more interested in how you think, how you work, and how you show up.
Preferred qualifications:
- 2 years of healthcare administration or reception experience
