The Office Manager is responsible for overseeing daily front office operations, client access, and intake processes to ensure a smooth and efficient client experience.
This role plays a key part in scheduling, insurance verification, and front-end revenue support while maintaining organization and professionalism in a fast-paced outpatient setting.
This is a hands-on role focused on execution, coordination, and consistency rather than high-level business strategy.
Key ResponsibilitiesFront Office Operations
- Manage high-volume inbound and outbound calls
- Oversee daily front office workflow and client communication
- Ensure a professional and organized client experience
Client Intake & Scheduling
- Complete accurate and timely client registration and intake
- Schedule clients efficiently to support provider availability
- Help maintain organized and optimized schedules
Insurance & Billing Support
- Verify insurance eligibility and benefits prior to appointments
- Collect co-pays and outstanding balances professionally
- Maintain accurate EHR documentation to support clean claims
Administrative & Workflow Support
- Assist with basic reporting and data tracking
- Support workflow coordination and small process improvements
- Ensure compliance with HIPAA and organizational standards
Required Qualifications
- Bachelor’s degree (preferred) with 1–2 years experience OR Associate’s degree with 3–5 years experience
- Healthcare or behavioral health experience required
- Experience with intake, scheduling, or patient access
- Proficiency in Microsoft Office
- Experience with EHR systems preferred

- Consistent collection of co-pays and balances
Scheduling & Access
- Support optimized provider schedules
- Assist in reducing no-show and cancellation rates
Productivity & Reliability
- Timely completion of assigned tasks
