We are a financial advisory firm seeking a highly organized and detail-oriented Investment Operations Specialist to support our firm's operations. This role plays a vital part in ensuring a smooth client experience by managing account-related processes, handling documentation, and maintaining accurate records.
The ideal candidate has strong administrative and account management experience, excellent communication skills, and a high level of accuracy when working with forms, client data, and internal systems.
Qualifications / Job Requirements
- At least 3-5 years experience proven administrative or operations experience, preferably in account management, financial services, or client support
- Excellent written and verbal English communication skills
- Strong attention to detail and ability to manage multiple tasks accurately
- Has experience with CRM systems, document management, and online communication tools
- Professional, reliable, and able to maintain confidentiality with sensitive information
- Strong problem-solving skills and ability to work independently
- Must be available to work Monday to Friday, 8 AM - 5 PM CST onsite
Job Responsibilities
- Support the full lifecycle of client account management, including new account setup, account maintenance, and transfer processing
- Coordinate and facilitate 401(k) rollovers and account transfers with accuracy and professionalism
- Complete and process all required forms and documentation promptly and correctly
- Maintain thorough and organized tracking of account activities and updates
- Communicate clearly and professionally with clients and internal teams to ensure all requests are handled efficiently
- Execute trading or transaction instructions as directed, ensuring compliance with firm policies
- Record all interactions, updates, and notes accurately in the firm's CRM system
- Provide general administrative and operational support to the team as needed
