Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management for staff and leadership.
- Oversee scheduling of meetings, appointments, and events, including event planning support when needed.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations.
- Manage vendor relationships, negotiate contracts, process payments, and ensure timely procurement of supplies and services.
- Oversee human resources functions such as payroll processing, employee records management, filing systems, and compliance with employment policies.
- Support office management tasks including filing, maintaining organized records, managing office supplies inventory, and ensuring a professional front desk presence with excellent phone etiquette.
Requirements
- Proven experience in office management or administrative roles within a professional environment.
- Strong bookkeeping skills with proficiency in QuickBooks or comparable software.
- Supervising experience with the ability to lead and motivate administrative teams.
- Excellent communication skills—both verbal and written—and strong organizational abilities.
- Experience in event planning, vendor management, budgeting, and human resources functions.
- Familiarity with multi-line phone systems, calendar management tools, filing systems, and clerical tasks.
